    Description:

    POSITION PURPOSE

    To provide general oversight of administrative functions in the Rehab Services department. Responsible for daily scheduling oversight, inventory control; ordering supplies; time keeping. Performs advanced administrative support duties requiring broad knowledge of organization and departmental policies. Provides project and/or regulatory task monitoring support of a moderately complex nature for the department. Works under general direction and supervision of the department director.

     

    This position is 100% on-site; it is not remote.

     

    Provides administrative support to the Rehab Services Department Director and Manager; Nursing Director and IPR Unit Nursing Manager and Assistant Manager.

     

    Duties include timekeeping; inventory/supply management; scheduling meetings/conference rooms, create meeting agendas and type up minutes and other routine tasks as assigned.

     

    Problem solves issues on daily basis to insure smooth operations and efficient communications.

     

    Assists department leadership in ensuring that quality metrics for the rehab unit are tracked and monitored for compliance.

     

    Responsible for timely collection of statistical data for the department for financial and process analysis.

     

    Responsible for ensuring daily charge entry and revenue reconciliation activities are completed.

     

    May delegate responsibilities as needed to responsible and trained staff.

    REQUIRED EDUCATION, EXPERIENCE AND CERTIFICATION/LICENSURE

    Education:

    High school diploma or GED required

     

    Associate's degree or equivalent of 7 years of administrative support experience, preferred.

    Experience:

    Previous experience in an administrative assistant position or similar role required.

     

    Computer proficiency required.

    REQUIRED SKILLS AND ABILITIES

    Interpersonal skills necessary to communicated effectively with patients, families, physicians, co- workers, and other department representatives throughout the Health System.

     

    Ability to concentrate and pay close attention to detail when typing and preparing various documents.

     

    Computer skills necessary to learn and use a variety of hardware and software to prepare documents and presentations, compile statistics for spreadsheets/graphs, and assist others in computer use.

     

    Writing skills necessary to compose agenda and minutes from various meetings, and to proofread and correct errors on documents.

     

    Organizational skills necessary to prioritize and coordinate a variety of projects and processes.

     

    Ability to use medical terminology verbally and in writing.

     

    Ability to engage in a variety of contacts inside and outside of the system in order to obtain or relay information with various stakeholders.
