Legal Secretary Job Description (With Litigation Experience)
A Legal Secretary specializing in litigation provides critical administrative and legal support to attorneys and legal teams, ensuring the efficient operation of casework and legal proceedings. This role requires expertise in litigation processes, exceptional organizational skills, and familiarity with court systems and procedures.
Key Responsibilities:
+ Administrative Support:
+ Prepare and format legal documents, including pleadings, motions, subpoenas, discovery responses, and correspondence
+ Maintain and organize case files, ensuring all relevant documentation is accurate and accessible
+ Manage attorneys’ calendars, including tracking court deadlines, depositions, hearings, and trial schedules
+ Litigation Assistance:
+ Coordinate e-filing of legal documents with courts and ensure compliance with court rules and deadlines
+ Assist with document production during discovery processes and maintain confidentiality of sensitive information
+ Liaise with court personnel, clients, witnesses, and opposing counsel as necessary
+ Case Preparation:
+ Schedule depositions, mediations, and expert witness appointments
+ Organize trial materials, including exhibits, binders, and electronic presentations for hearings and trials
+ Ensure proper service of legal documents to all parties involved
+ Technology and Software:
+ Utilize legal technology tools for eDiscovery, document management systems, and calendaring software
+ Conduct legal research using platforms like LexisNexis or Westlaw
+ Client Interaction:
+ Communicate professionally with clients to address questions or requests regarding case status and legal proceedings
Skills & Qualifications:
+ Litigation Expertise: In-depth knowledge of litigation processes, procedures, and court filing requirements
+ Technical Proficiency: Ability to use Microsoft Office Suite (Word, Excel, PowerPoint), litigation support tools, and e-filing systems
+ Communication Skills: Excellent written and verbal communication skills to interact with attorneys, courtroom personnel, and clients
+ Organizational Skills: Effective management of complex schedules, deadlines, and case files in a fast-paced environment
Work Environment:
+ Collaborative law firm environment, requiring flexibility to meet deadlines and assist attorneys during heavy workloads.
+ May require occasional overtime to support high-profile cases or trials
Requirements
Educational & Experience Requirements:
+ Education: Associate degree in legal studies or related field is preferred; equivalent work experience may be substituted
+ Experience: A minimum of 3–5 years legal secretary experience, with a focus on litigation support
+ Certifications: Professional certifications in legal administration are highly valued
