Description We are looking for a dedicated Administrative Assistant to join our team in Morris Plains, New Jersey. This is a long-term contract opportunity within the Real Estate & Property industry, ideal for someone with strong organizational and communication skills. The role requires a proactive individual who can manage various administrative tasks while ensuring compliance with state regulations and contributing to operational success.
Responsibilities:
• Handle routine communication related to daily operations, ensuring clarity and professionalism in all correspondence.
• Collaborate with the Director to review weekly assessments and support decision-making processes.
• Prepare attendance summaries and rosters for scheduled meetings.
• Execute operational plans to maintain customer satisfaction and adhere to state compliance standards.
• Organize and distribute necessary materials, ensuring timely updates to information packets and communications.
• Assist management with paperwork related to location, curriculum, and licensing renewals.
• Develop and analyze monthly reports for management, including mandatory state reporting tasks.
• Coordinate scheduling activities such as cancellations, additions, and rescheduling of meetings and trainers.
• Support the training and onboarding process by facilitating sessions on systems like Zoom and EasyTestMaker.
• Perform additional administrative duties as assigned to ensure smooth operational workflows. Requirements • Minimum of 2 years of experience in administrative or related roles.
• Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
• Strong skills in answering inbound calls, managing email correspondence, and performing data entry.
• Ability to schedule appointments and manage time-sensitive tasks efficiently.
• Experience in customer service and handling both inbound and outbound calls.
• Familiarity with virtual tools like Zoom for meetings and training sessions.
• Excellent organizational and multitasking abilities.
• Demonstrated ability to work independently and collaboratively in a fast-paced environment. TalentMatch®
