    Property Management Assistant (Property Admin) Job Description

    A Property Management Assistant plays a vital role in supporting property managers by handling administrative tasks, coordinating tenant and lease activities, and maintaining operational efficiency in property management. This role requires excellent organizational skills, communication abilities, and familiarity with property management practices.

    Key Responsibilities:

    + Administrative Support:

    + Assist property managers with day-to-day administrative tasks, ensuring smooth operations

    + Maintain accurate records related to leases, tenant communications, and property expenses

    + Prepare and distribute notices, correspondence, and reports as required

    + Tenant Coordination:

    + Serve as the main point of contact for tenants, addressing questions, concerns, and repair requests

    + Schedule and coordinate maintenance services with contractors to meet tenant needs

    + Assist with tenant move-ins, lease renewals, and move-outs, following established processes

    + Lease Administration:

    + Track and manage lease agreements, terms, and renewals to ensure compliance

    + Oversee rent collection processes and assist with late payments or disputes

    + Financial Management:

    + Assist property managers with budgeting, invoice processing, and monitoring property expenses

    + Compile financial reports as needed to support decision-making

    + Property Inspections:

    + Coordinate property inspections to ensure building safety and compliance with local regulations

    + Document inspection findings and follow up on required repairs or improvements

    + Customer Service:

    + Foster positive relationships with tenants and vendors through professional communication

    + Handle property-related issues with a focus on efficiency and customer satisfaction

    Skills & Qualifications:

    + Technical Proficiency: Proficient in property management software (e.g., Yardi, AppFolio) and standard office tools (e.g., Microsoft Office Suite)

    + Organizational Skills: Strong time management and ability to handle multiple tasks simultaneously

    + Communication Skills: Excellent written and verbal communication skills for tenant and vendor interactions

    + Problem-Solving Abilities: Resourceful mindset to resolve tenant issues or handle emergencies

    Work Environment:

    + Collaborative office setting with occasional travel to property sites for inspections or tenant interaction

    + May require flexible hours to manage tenant emergencies or property needs outside of regular work hours

    Requirements

    Educational & Experience Requirements:

    + Education: High school diploma or equivalent is required; an associate's degree or coursework in business, administration, or property management is preferred (Source: US Demand for Skilled Talent Q1 2025.pdf).
