Role Overview:
We are seeking a **Workplace Services** **Lead** to oversee the workplace management of two key San Francisco/South Bay area offices, supporting a dynamic and growing team of 200 employees combined. In this in-office role, you will be responsible for managing daily office operations, maintaining an exceptional workplace environment, and ensuring the smooth functioning of all facilities-related services. This is a position that requires both operational expertise and a collaborative, service-oriented mindset to work effectively with senior management and cross-functional teams.
The ideal candidate will have a strong background in office and facilities management, a hands-on approach to problem-solving, and a demonstrated ability to manage multiple priorities in a fast-paced environment. This role requires a combination of operational leadership, attention to detail, and strategic oversight of the physical office spaces to ensure they meet the needs of our employees and align with CoStar Group’s high standards.
Key Responsibilities:
+ **Office Operations Management:** Oversee the daily operations of two San Francisco area offices, ensuring that all facilities and workplace needs are met efficiently and effectively.
+ **Workplace Solutions Leadership:** Lead the workplace experience for employees, including managing office supplies, catering, internal office moves, parking, guest management.
+ **Vendor and Contractor Coordination:** Act as the primary point of contact for building management, service contractors, and vendors. Ensure that all facilities-related services (e.g., cleaning, security, engineering) are delivered on time and to company standards.
+ **Facilities Budgeting and Purchasing:** Manage the office budget, track expenses, create purchase orders, review invoices, and ensure cost-effective purchasing decisions that align with the overall budget.
+ **Space Planning and Office Design:** Oversee office space planning, including seating assignments, and support company leads in layout design, and sustainability efforts. Lead initiatives for optimizing the office environment for productivity and employee well-being.
+ **Event Coordination:** Coordinate in-office events and activities such as company-wide gatherings, wellness programs, training sessions, and special events to foster a positive workplace culture.
+ **Health, Safety & Compliance:** Collaborate with the Corporate Security Team to ensure the office complies with health, safety, and regulatory requirements.
+ **Workplace Systems Management:** Utilize and manage the Integrated Work Management/Experience System (IWMS) to streamline office operations and track workplace service requests and maintenance activities.
+ **Portfolio Support:** Support department leaders in executing portfolio wide projects such as office moves, new office openings and decommissioning.
Basic Qualifications:
+ Bachelor’s degree from an accredited, not-for-profit university required.
+ Experience in Facilities Administration role or related field.
+ Previous experience in on-site vendor and contractor management and oversight
+ 4+ years of facilities management experience or similar role managing a large office (200 staff and/or multiple locations).
+ Experience and proficiency using IWMS software.
+ Advanced proficiency in Microsoft Office suite including Excel, PowerPoint, SharePoint, etc.
+ Experience with facilities operations, project planning and management.
+ Effective analytical and problem-solving skills, as well as high attention to detail and organizational skills.
+ Excellent communication skills.
+ This is an in-person position, which requires split time between downtown San Francisco location and South Bay location. Ability to travel 25%What’s in it for you?

_This position offers a base salary range of $81,000-$136,000, based on relevant skills and experience and includes a generous benefits plan._
