Job Title: Facilities Manager
Job Description
The Facilities Manager is the primary point of contact responsible for managing and coordinating both internal and external services to deliver a safe and productive environment for patients, guests, and employees. This role involves leadership, coordination, and support for project teams, ensuring completion within budget and schedule while adhering to program objectives and governmental regulations. The Facilities Manager acts as a liaison between clients and project participants, including consultants, contractors, vendors, and jurisdictional agencies.
Responsibilities
+ Manage and coordinate facility services, including parking, security, cleaning, landscaping, building system maintenance, fire life safety, and emergency response.
+ Build and maintain strong customer relationships through proactive interactions and regular site visits.
+ Ensure a healthy and safe work environment through education, training, and monitoring of unsafe practices.
+ Oversee financial management of cost centers, improve cost efficiencies, and manage purchased services.
+ Conduct regular inspections for safety, aesthetics, and maintenance, and audit quality indicators for contract adherence.
+ Act as a point of escalation for managing emergency events.
+ Assist in developing policies, guidelines, and standards, representing the department in committees and professional organizations.
+ Implement quality control measures to ensure compliance with policies, government codes, and regulations.
+ Assess and document project scope, objectives, and constraints, including health and safety criteria.
+ Manage approval processes for design work and budgets, ensuring conformance with all project requirements.
+ Prepare and maintain accurate project records and cost estimates, ensuring space inventory reports are complete.
+ Oversee lease administration and the property manager relationship for escalation purposes.
+ Manage furnishing and equipment selection, purchasing, and installation processes.
+ Coordinate compliance with Fire Life Safety regulations and Joint Commission lease terms.
+ Oversee project management for cosmetic upgrades and coordinate facilities requests.
+ Manage selection processes and contract negotiations for consultants, contractors, and vendors.
+ Complete ICRA/PCRA documentation as per policy.
+ Advance staff development through on-the-job training.
+ Be available on-call during non-standard hours, including nights, weekends, and holidays, to respond to emergencies.
Essential Skills
+ Experience in facilities maintenance and management.
+ Proficiency with CMMS and project management.
+ Skills in vendor management, construction, and tenant improvement.
+ Knowledge of electrical, plumbing, and HVAC systems.
Additional Skills & Qualifications
+ Bachelor's degree in a related discipline from an accredited institution, or equivalent relevant experience.
+ 4-5 years of progressively responsible work experience.
+ Valid California Driver’s License.
+ Professional designations from BOMI, IFMA, or CRECI are advantageous.

Work Environment
The role requires sitting offsite but involves onsite rounds at the main hospital. The working attire is business formal. The environment is non-union, collaborating with other facility managers, coordinators, field staff, and food services teams.

This is a Contract to Hire position based out of Palo Alto, California.
Pay and Benefits
The pay range for this position is $55.00 - $62.00/hr.
