    We are seeking an **_Academic Program Coordinator_** in the Department of Sociology who will serve as the primary point of contact for all academic-related items, managing the department’s undergraduate and graduate programs of study. This position works closely with departmental leadership to ensure successful oversight of the academic programs and serves as the departmental liaison for University and/or divisional academic initiatives. The Academic Program Coordinator supports the implementation of new student-oriented policies and procedures. This position also facilitates day-to-day administration in the department through routine transactional work and general office duties.

     

    Specific Duties and Responsibilities

    _Academic Program Administration_

    + Represent the Department at meetings organized by academic leadership; disseminate information to the department as appropriate; serve as a key point of contact regarding academic policies and procedures.

    + Ensure students are informed about program requirements, deadlines, and registration information; provide procedural guidance as needed.

    + Monitor graduate students progress through the Ph.D. program from matriculation to degree conferral by maintaining complete records of courses, grades, financial obligations, and department requirements; resolve grading discrepancies as needed.

    + Prepare information & documents for annual graduate student evaluations by the department faculty.

    + Advise students and faculty on GBO procedures, coordinate GBO exams and committees, distribute and enforce dissertation guidelines, prepare necessary forms and certifications, and update SIS Graduate Board module accordingly.

    + Collaborate with students, faculty, and divisional/university partners to resolve student-related matters.

    + Support student-related financial administration.

    + Schedule the department’s courses and coordinate room assignments as needed; resolve scheduling discrepancies as needed.

    + Assist faculty with ordering textbooks and desk copies each semester.

    + Compile final exam information and distribute final exam schedules.

    + Execute graduate admissions procedures in Slate; communicate admissions decisions to applicants.

    + Respond to all email inquiries regarding the graduate program.

    + Coordinate campus visits for admitted graduate students.

    + Maintain the department’s student handbook(s), ensuring updates are implemented as required.

    + Respond to data requests from university partners.

    + Assist with arrangements for departmental guest speakers.

    _Financial Responsibilities_

    + Initiate routine financial transactions including expense reimbursements, invoice payments, or other procurement transactions.

    _General Office Administration_

    + Support routine general administrative duties for the departmental office.

    + Maintain schedule of the department's spaces.

    + Maintain departmental website.

    Minimum Qualifications

    + High School Diploma or graduation equivalent

    + Three years administrative/academic related experience

    + Additional education may substitute for required experience and additional related experience may substitute for required education beyond HS Diploma/Graduation Equivalent, to the extent permitted by the JHU equivalency formula.

    Preferred Qualifications

    + Bachelor’s Degree.

    + Five years of progressively responsible experience in program administration within higher education.

    + Experience in project management and systems thinking.

    Classified Title: Academic Program Coordinator

    Role/Level/Range: ATO 37.5/02/OE

     

    Starting Salary Range: $18.20 - $25.75 - $33.90 HRLY (Commensurate w/exp.)

     

    Employee group: Full Time

     

    Schedule: Monday through Friday, 8:30am - 5:00pm

     

    FLSA Status: Non-Exempt

    The listed salary range represents the minimum and maximum Johns Hopkins University offers for this position, based on a good faith estimate at the time of posting. Actual compensation will vary depending on factors such as location, skills, experience, market conditions, education, and internal equity.
