The creation of the HHC System Support Office recognizes the work of a large and growing group of employees whose responsibilities are continually evolving so that we and our departments now work on behalf of the system as a whole, rather than a single member organization. With the creation of our new umbrella organization we now have our own identity with a unique payroll, benefits, performance management system, service recognition programs and other common practices across the system. *_Position Summary:_* Responsible for managing, coordinating, standardizing and performing day-to-day operations within regions (Central,*_Eastern_,_Fairfield (new)_*or Hartford) and*_BHN (new_*), (Behavioral Health Network). Assists with oversight and implementation of facility-related HIM services (operational planning, service level agreements, budgets, workflow processes and internal controls). If applicable, participates in facility-based unbilled management process and resolution of unbilled account contributing issues. Responsible for sustaining positive customer service/relationships with facility’s medical staff, clinicians, leadership team, and all other internal and external customers, under the direction of the region manager. Serve as an active member of HHC HIM Leadership team to cascade the vision for HHC HIM services across the enterprise. Provides leadership support to HIM Regional Manager: oversight for system wide on-going quality review audits related to documentation required by regulatory agencies and State of Connecticut, coordinating schedule completion, findings and reporting for all acute, BHN, HHCAH, HHCMG and Community Connect entities. Coordinates efforts to centralize HIM operational functions (prep, scan, index, and analysis), audits, and document corrections; organize audit findings and dashboard preparation; represents Regional Manager as needed. *_Position Responsibilities:_* *Key Areas of Responsibility* 1. Manages and standardizes multiple facility-based HIM operations and processes, including but not limited to, record reconciliation, completion, transcription services, if applicable, and disclosure of information processing within their region or network, working independently, under the direction of manager for the region. 2. Oversee documentation audits for the system to assess quality. Track, trend findings and recommend corrective action. Report at appropriate Medical Staff Committees and follow up on corrective actions. Coordinates transitioning to centralized HIM Operations models. 3. Establishes and maintains performance expectations of their employees; coaches and evaluates performance in a timely manner to enable employees to be successful in their roles. Identifies and assists in the development of employees’ strengths to best prepare for the future of HIM. 4. Works collaboratively with medical staff and facility leadership to comply with standards and guidelines enforced through the Medical Staff Bylaws/Rules and Regulations, (e.g., suspension of privileges) and is responsible for facilitation and execution of physician notification processes regarding medical record documentation deficiencies, delinquencies and suspensions. 5. Promotes change management within a fast-paced environment, shares resources most cost-effectively and continually strives to improve the quality and productivity of the departments within their region or network 6. Oversees documentation reviews in collaboration with Quality Management and ensures timely reporting to appropriate parties according to pre-established time lines within their region or network. 7. Serves as facility subject matter expert on medical record requirements for paper-based and electronic health record. Is an integral part of Epic and On-Base implementation. 8. Supports the HHC forms management initiative and serves as the liaison between the facilities within their region or network, HHC Forms Committee and forms management system. 9. Assists with co-chairing of the HIM Committee in collaboration with Medical Director(s) within their region, or Behavioral Health Network HIM/QI Committee, if applicable. 10. Provides record completion and medical record training and education to medical staff, clinical, ancillary personnel and department staff. *_Working Relationships:_* · *This Job Reports To:*HHC HIM Sr. Manager, Operations · *# Workers Responsible For:* o *# Direct Reports:*2-3 o *# In-Direct Reports:*25-48 · *Nature of Supervision*: Day to day management of HIM staff within their region and facilities. · *Internal:*Direct supervision of HIM staff.
