    Scheduling Manager – Full Time

    **Location:** Seattle, WA (Downtown)

    **Salary:** $77,979.20/yr

    **Schedule:** Monday – Friday (8am - 5pm)

    *Candidates must be willing and able to work on-call during the weekends and evenings as needed*

     

    As an Admin Scheduling Manager at Securitas Inc., you will play a crucial role in managing the scheduling of Security Officers and supervisors at client sites. Your primary responsibility will be to optimize the scheduling process to enhance operational results while minimizing avoidable overtime. You will be expected to resolve staffing issues and communicate effectively with the District Manager regarding site requirements and work priorities. In this role, you will always maintain site coverage, which includes tracking requests for time off, responding to emergency situations, and ensuring that client sites are adequately staffed. You will also be responsible for ensuring accurate timekeeping, payroll, and billing data is posted in the automated resource system. This involves verifying billing and payroll reports, correcting discrepancies, and interfacing with accounts receivable and payroll departments to ensure smooth operations. Additionally, you will coordinate scheduling changes with Branch management and serve as a liaison between clients and staff to resolve any scheduling, training, billing, or payroll issues. You will also manage the on-call security force to cover vacancies and coordinate the daily schedules and assignments of Field Supervisors. Your role will include advising management of openings, assisting in the screening of Security Officer candidates, and maintaining records of qualifications and training. Overall, you will perform various tasks and duties as required to support the assigned office and ensure the effective operation of security services.

    Admin Scheduling Manager Responsibilities:

    + Schedules Security Officers and supervisors at client sites.

    + Manages the scheduling process to optimize operating results and minimize avoidable overtime.

    + Resolves staffing issues and problems as directed by Branch management.

    + Always maintains site coverage and tracks requests for time off.

    + Responds to emergency situations, call-offs, and absences to ensure client site coverage.

    + Ensures accurate timekeeping, payroll, and billing data is posted in the automated resource system.

    + Verifies billing and payroll reports and corrects discrepancies.

    + Interfaces with accounts receivable and payroll departments to make corrections.

    + Maintains current knowledge of site contracts and requirements.

    + Coordinates scheduling changes with Branch management, supervisors, and staff.

    + Acts as a liaison with clients and Branch management to resolve scheduling, training, billing, and payroll problems.

    + Ensures an adequate on-call security force is available to cover vacancies.

    + Coordinates daily schedules and assignments of Field Supervisors.

    + Briefs Supervisors on changes to post schedules and new Security Officer schedules.

    + Advises Branch management and/or Human Resources staff of openings as they occur.

    + Assists in screening Security Officer candidates and interviews new Security Officers.

    + Recommends removal of Security Officers from posts based on client complaints or performance issues.

    + Maintains records of Security Officer qualifications, certifications, and training.

    Position Requirements:

    + 18 years of age or older

    + Associates Degree or higher required

    + 2+ years of progressive supervisory or management experience required.

    + Data entry or data analytic experience required

    + Advanced computer skills needed - proficiency in Microsoft Office (Excel) and data management software

    + Top notch customer service skills are essential

    + Must be responsible, accountable, objective, and have a strong work ethic

    + Must have a strong grasp of appropriate and professional verbal / written communication

    + Conflict resolution and de-escalation skills a plus

    + All candidates must be able to pass a drug test and background check

    + Strong organizational, administrative, and time management skills needed

    + Detail oriented with strong analytical and problem-solving skills needed

    + Must have the ability to multitask and priorities tasks

    + Must have a high level of integrity and professional discretion

    + Must have the ability to maintain composure and switch tasks efficiently in a rapidly changing environment
