Job Summary
Are you passionate about serving children and families in El Paso County? Do you have a specific interest in supporting families post adoption? Do you have an eye for detail, the ability to work independently and strength in your customer service skills? If so, we have the perfect opportunity for you. Join our team as a Program Coordinator for Children, Youth & Family Services, for the Adoption Team! We're seeking an experienced candidate with strong time management and multitasking skills, capable of managing a full caseload of post adoption family needs such as Medicaid and adoption assistance.
In this position, you will support children and post adoption families through case management. This includes general case management duties such as client contact/tracking, collecting annual educational documentation, assisting adoption caseworkers with filing, auditing, and information sharing. Additionally, the Program Coordinator completes extension contracts and notarizes legal documents necessary for adoption. Your efforts in this role have the opportunity to significantly impact the lives of children.
Hiring range: $46,000.00 - $49,000.00 annually
Anticipated hiring rate: $47,944.00 annually
This position has an anticipated work schedule of Monday – Friday, 8:00am – 5:00pm; subject to change. Hybrid schedule available upon successful completion of probationary period; subject to change

Provides administrative and technical support services for the Children, Youth & Family Services (CYFS) Division of the El Paso County Department of Human Services; ensures compliance with program guidelines, policies, and procedures.
Essential Duties/Responsibilities
+ Provides administrative support and coordination with internal and external stakeholders. Ensures compliance with program guidelines.
+ Performs data entry in established human services databases; updates and maintains databases to ensure accuracy. Enters, updates, and retrieves information from multiple computerized databases.
+ Processes, scans, and files referrals, documents, and/or forms. Creates, updates, and maintains files related to the program area.
+ Tracks, updates, and maintains a log of requests, appeals, etc.
+ Researches data utilizing databases and compiles and distributes reports.
+ Provides technical assistance to personnel to ensure data entry is accurate and up-to-date.
+ Participates in monitoring caseworker documentation related to the program area. Ensures that paperwork is completed correctly and appropriate information is recorded in a computer database.
+ Communicates processes and issues as needed with DHS Leadership, Caseworkers, and the Financial Services Department.
+ Processes program area requests and ensures compliance, accuracy, and inclusion of all necessary documents.
+ Coordinates and schedules meetings; reviews calendars and reserves rooms.
+ Ensures invoices are paid timely as assigned; validates that all invoices align with department approved service billing policies and procedures. Reconciles invoices and service authorizations with expenditures.
+ Performs other related duties as assigned.
Supervision Exercised:This classification does not have supervisory authority and requires no supervision or direction of others.
Supervision Received:Receives direct supervision. This classification normally performs the duty assignment after receiving detailed instructions as to methods, procedures, and desired end results with little room for deviation. Frequent direction, guidance, and coaching from supervisor is expected.

+ Ability to create and maintain accurate files.
+ Ability to type correspondence and reports quickly and accurately.
+ Ability to use standard office equipment including computer, fax machine, copier, and telephone; Proficiency with state databases and Microsoft Office, including Word, Excel, and Outlook.
+ Maintain regular and punctual attendance.
Required Education & Experience
+ High school diploma or equivalent education.
+ Two years of administrative experience.
+ Associate’s degree in a related field may substitute for one year of the required experience.
+ Bachelor’s degree in a related field may substitute for two years of the required experience.
Preferred Education & Experience
+ Experience in a human services agency.
Pre-Employment Requirements
+ Must pass conditional post offer background investigation and drug screen.
Work Conditions
Duties are primarily performed in an office and remote work environment dependent upon Department discretion and business needs. May be exposed to clients in stressful situations. May be required to work evening and weekend hours.
