Description:
Under the general direction of Pharmacy management, a pharmacy coordinator develops and continuously improves workflow systems which effectively utilize resources to deliver quality service in a cost-effective manner. Assumes specific responsibilities for a designated work area or function as determined by management staff. Coordinates the ongoing daily activities of the professional and technical staff and performs related work as a registered pharmacist. Duties include staff scheduling and monitoring compliance with the Health System Human Resources and department policies and procedures and pertinent state and federal laws and regulations. Consults with customers on a regular basis to identify new opportunities to improve quality, reduce costs and expand services.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
+ Exercises functional supervision over medication distribution in designated health systemarea such as central pharmacy or infusion clinics.
+ Develops a comprehensive knowledge of regulatory and licensing requirements.
+ Coordinates the daily activity of the professional and technical staff and functions as a registered pharmacist to provide pharmaceutical services based on age-specific needs and according to professional standards and statutory requirements.
+ Ensures that the daily workload is completed and that all shifts are adequately staffed.
+ Prepares master and daily staffing schedules for pharmacists based on practice site needs including assesses staffing model at regular intervals, makes adjustments based on current workflow patterns, job responsibilities, staffing levels and staffing mix.
+ Monitors operational issues to effectively integrate and continuously improve operational systems in the most cost-effective manner.
+ Documents the performance and assists in the preparation of performance evaluations.
+ Plans, develops,implements and monitors compliance with health system and department policies and procedures.
+ Oversees compliance with regulatory agencies for controlled substances including legal requirement, inspections and accountability monitoring.
+ Coordinates and reviews computerized order entry audits and reports.
+ Meets on a regular basis with customers to engage in cost reduction, problem solving, and continuous improvement activities.
+ Develops a comprehensive knowledge of operational systems to effectively train employees. This includes coordinating the training process and providing required documentation (for example, training manuals).
+ Participates in the ongoing development and implementation of quality assurance indicators, measures service level and/or compliance achieved, and maintainsappropriate documentation.
+ Maintains appropriate inventory levels of all drugs, IV sets, IV solutions, chemicals, equipment and miscellaneous supplies and communicates fluctuations in usage to the pharmacy purchasers in a timely manner depending on area of practice.
+ Determines the most cost effective and efficient utilization of personnel and supplies. Evaluates alternative drug delivery systems, pharmaceutical software applications, automated equipment, and other technological advances as needed.
+ On a daily basis, monitors the disposition of controlled substances, investigational drugs, and other hazardous materials through daily issuance, inventory control, maintenance of legal documents, and reconciles discrepancies depending on area of practice.
+ Maintains required payroll documentation as required depending on area of practice.
+ Participates in teaching programs affiliated with the pharmacy department.
+ Participates in departmental strategic planning and goal setting activities.
+ Meets with the management staff on a regular basis to discuss operational, clinical and employee relations issues.
+ Participates in the development of departmental policies and procedures. Monitors staff adherence to health system policies and procedures and initiates corrective action when appropriate.
CLINICAL FUNCTIONS
+ Assumes specific responsibilities in assigned areas such as infusion services, medication safety, or cleanroom function.
+ Maintains knowledge of therapies in area of focus, demonstratesexpertise in reimbursement, participates in multidisciplinary education programs, and can independently recognize and resolve issues related to mediation usage.
+ Directs services and exercises functional supervision over the system-wide medication management system of the area of practice including, but not limited to, purchasing, receiving, storing, inventorying, compounding, and dispensing pharmaceuticals and investigational drugs depending on site practice.
+ Coordinates sterile product compounding, including staff training and technique certification, end product testing, process validation, and related quality control requirements. Serves as a primary contact for regional compounding activities if applicable.
+ Monitors productivity and resource utilization and recommends reallocation of resources when indicated.
+ Develops comprehensive knowledge of outpatient clinics, inpatient, office-based, and home care reimbursement depending on area of practice.
+ Balances financial considerations with customer service issues when making recommendations regarding treatment plans.
+ Demonstrates knowledge of reimbursement and regulatory standards related to pharmacy services. Is prospectively involved with provisions of pharmaceutical care and the promotion of high quality, cost effective, patient-focused care considering age specific needs. Actively participates in CQI reimbursement and inventory control initiatives.
+ Develops all supporting pharmacy work processes to ensure actions as stated in the integration planning process are carried out in accordance with patient care policies and standards of practice.
+ Assures that all standards for compliance with the safe preparation and handling of cytotoxic drugs are met if applicable.
+ Assures that all regulatory standards related to pharmacy services are met.
+ Assures that the required components and monitoring are in place to maximize reimbursement for medication therapies if applicable to area of practice.
+ Generates staffing schedules, submits payroll documentation, and performs related record keeping functions if applicable.
+ Collaborates with nursing, medical and other providers to design and implement system changes to continuously improve the medication management systems related to pharmacy services.
+ Participates in the identification, development, and implementation of CQI programs related to assigned areas of practice and service.
+ Assists in the development and revision of guidelines and policies and procedures that relate to pharmacy services.
+ Participates in quality assurance education and training, and other special projects, as requested.
+ Develops and monitors quality indicators that align with organizational quality improvement plans.
+ Identifies and provides input on information and infusion technology as it relates to the area of practice and assists with implementation and compliance with computer applications.
+ Participates in the coordination and development of research programs, especially those related to pharmacy services as applicable.
+ Identifies and develops new opportunities to expand pharmacy services.
+ Actively and reliably monitorsmedication therapies and answers drug therapy related questions.
+ Evaluates therapy regimens and makes recommendations to medical staff to optimize effective drug therapy.
+ Participates in the review of drug therapy orders including protocols and computerized ordering screens for appropriateness.
+ Participates in the development and review of guidelines, algorithms, and protocols regardingmedication therapies.
+ Reviews and maintains files and data bases on contemporary drug literature to keep abreast of new drugs and procedures, and acts as a clinical resource person for other healthcare professionals.
+ Conceives, designs, develops, implements, and evaluates results of drug use evaluation monitors in area of practice.
+ Identifies, implements, and monitors quality and financial indicators.
+ Participates in hospital indigent care programs and helps ensure compliance with the McAuley Support Formulary if applicable.
+ Evaluates new medication therapies for opportunities to expand services.
+ Actively participates in staff development programs, continuing education, lectures, conferences, and preparation of newsletters, drug class reviews, and new policies and procedures.
+ Provides in-service education, problem solves andassists nurses in communicating with the medical staff regardingmedication therapy issues.
+ Develops and oversees the provision of patient education materials and counseling.
+ Educates physicians, employees and other allied disciplines about the goals and rationale of the institution's quality of care and cost containment programs related to the usage of medication therapies.
REQUIRED EDUCATION, EXPERIENCE AND CERTIFICATION/LICENSURE
Education:
+ Bachelor's degree in pharmacy or Doctor of Pharmacy degree
Experience:
+ 3-5 years of progressively more responsibility in related work experience. Management experience in area of practice is preferred.
Licensure / Certification
+ Registered pharmacist possessing or eligible for a Michigan Pharmacist and Controlled Substance license is required. Maintenance of minimum hours of State Board of Pharmacy continuing education credits every two years as required by the State of Michigan.
REQUIRED SKILLS AND ABILITIES
+ Knowledge of medications, dosages, compounding, and dispensing in order to prepare and dispense medications and other pharmaceutical supplies in a safe manner, and to provide advice and guidance on medications to physicians, nurses, and patients.Performs area of practice pharmacist responsibilities on a routine basis as workload dictates.
+ Written communication skills to effectively produce memoranda, policies and procedures, and performance evaluations.
+ Solid analytical skills to effectively develop, implement and continually improve operational workflow systems.
+ Comprehensive working knowledge of health system and departmental policies and procedures as well as federal, state, and regulatory agency law, rules and regulations.
