    Position Overview:

    As a Executive Assistant at Galen College of Nursing, you will perform highly diversified administrative duties in support of Galen’s executives and administration. This position requires efficiency with the ability to multi-task, while maintaining complex schedules and managing administrative support.

    Key Responsibilities:

    1. Assist with a variety of complex administrative duties in support of College Operations.

    2. Regularly prepare PowerPoints, reports, and other presentations for a variety of audiences.

    3. Support the Board of Directors’ quarterly meetings. Activities include preparing and disseminating Board materials, coordinating visit logistics, scheduling meetings, engaging with Board members and other executives on travel logistics, providing on-site meeting support, and recording meeting minutes. Travel may be required at times to support meetings.

    4. Prepare meeting agendas and minutes in accordance with the responsibilities of the office.

    5. Organize information in the Executive Office to ensure timely responses are provided.

    6. Prepare and edit correspondence, presentations, reports, and print material. This includes determining layout and format of all documents, knowledge of methods, procedures, and policies.

    7. Corresponds professionally, timely, and properly with executives and other individuals from inside and outside of the College as direct ed.

    8. Maintains library of departmental documents.

    9. Prepare meeting agendas and facilitate on-site logistics.

    10. Manages multiple calendars, prioritizing and responding to competing requests for time.

    11. Manages and maintains travel arrangements for individuals and groups, as needed.

    12. Processes invoices and expense reporting.

    13. Proactively engage in needs assessment, analysis, research, and develops creative solutions to improve processes, procedures, and policies to support the College.

    14. Operates independently in the absence of the Executive.

    15. Other duties as assigned.

    Position Requirements:

    + Education: Bachelor's degree or relevant experience may be considered in lieu of education.

    + Experience: Experience in administrative support or analysis in a corporate environment desired, with preferably five years at the executive level.

    + Skills & Qualifications: Proficient writing ability and the ability to convey complex information simply is desired. Ability to always respect the confidential nature of the work and information in the Executive' s office. Ability to use all forms of communication channels the College utilizes including Zoom, Microsoft Office products, Ellucian systems, and UKG Kronos.

    + Physical Requirements: Must be able to sit at a desk for up to eight (8) hours.

    + Degree of Supervision: Minimal.
