Description
Are you an experienced Administrative Assistant with a background in the construction industry? We are working with an esteemed client in Bloomfield, CT, who is seeking a highly organized and proactive Administrative Assistant to join their team. This role offers an incredible opportunity to support a fast-paced construction environment, leveraging your skills to ensure smooth operations across a variety of projects.
Key Responsibilities:
+ Documentation and Record Management: Maintain accurate and up-to-date project documentation, contracts, invoices, and records. Review and process documents in accordance with construction timelines and requirements.
+ Scheduling and Coordination: Support project managers by scheduling meetings, tracking deadlines, and coordinating with contractors, vendors, and clients.
+ Bid and Proposal Assistance: Assist in preparing bid packages, request for proposals (RFPs), and other project-related documentation.
+ Communication: Serve as a liaison between the office, project teams, and field staff to ensure timely and effective communication. Respond professionally to inquiries from clients, vendors, and other stakeholders.
+ General Administrative Support: Perform general office duties such as answering phones, ordering office supplies, and providing general support to the team as needed.
Qualifications:
+ Experience: 2+ years of administrative experience, preferably in the construction or related industry.
+ Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook) is required. Experience with construction management software such as Procore or Buildertrend is a plus.
+ Organizational Skills: Strong ability to prioritize tasks, manage multiple deadlines, and ensure attention to detail in all assignments.
+ Communication: Exceptional verbal and written communication skills, with the ability to professionally interact with clients, vendors, and team members.
+ Problem-Solving: A proactive approach to identifying and resolving issues efficiently in a construction-focused environment.
Requirements • Proven experience in answering inbound and outbound calls in a detail-oriented environment.
• Strong customer service skills with a focus on effective communication and problem-solving.
• Proficiency in data entry with high attention to detail and accuracy.
• Demonstrated ability to manage email correspondence efficiently.
• Advanced knowledge of Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word.
• Skilled in scheduling appointments and managing calendars effectively.
• Ability to multitask and prioritize tasks in a fast-paced environment.
