Description We are looking for an experienced Administrative Assistant to join our team in Columbus, Ohio. This Contract to permanent position involves providing comprehensive administrative support to the Executive Director, Board of Trustees, and membership. The ideal candidate will excel in organization, communication, and discretion while managing multiple priorities and fostering member engagement.
Responsibilities:
• Coordinate the Executive Director's calendar, travel arrangements, and logistics, ensuring smooth scheduling and conflict resolution.
• Prepare, proofread, and edit reports, presentations, and correspondence to maintain accuracy and clarity.
• Serve as a liaison to the Board of Trustees, facilitating communication and handling logistics for meetings and events.
• Maintain accurate records, including board minutes, rosters, and certification documents.
• Organize delegate certifications and logistics for annual meetings, including securing venues and accommodations.
• Manage membership inquiries, onboarding processes, and renewal cycles to enhance customer satisfaction.
• Update and maintain the membership database, ensuring data accuracy and creating reports to track trends.
• Support event planning and execution for webinars, symposiums, and other member-focused activities.
• Handle inbound and outbound calls, email correspondence, and scheduling appointments efficiently.
• Monitor deadlines and coordinate priorities for high-impact projects. Requirements • Minimum of 5 years of experience in administrative roles, preferably supporting executives and boards.
• Proficiency in Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word.
• Strong organizational skills with the ability to manage calendars, prepare agendas, and coordinate meetings.
• Excellent written and verbal communication skills, including email correspondence and report creation.
• Experience with membership databases and data entry, ensuring accuracy and functionality.
• Ability to handle confidential information with discretion and professionalism.
• Customer service expertise, including managing inquiries and providing member support.
