Description
We are seeking a motivated and detail-oriented Administrative Assistant to support our dynamic Corporate Sales Team in Norton, Ohio. This Contract-to-Permanent opportunity is ideal for professionals who excel in a fast-paced business environment, possess strong organizational skills, and have a passion for delivering exceptional customer service. Working closely with our Chief Operating Officer (COO), you’ll play a critical role in ensuring the efficiency and success of our sales team operations.
Key Responsibilities:
+ Administrative Support: Serve as a primary resource for the Corporate Sales Team, streamlining day-to-day operations and handling multiple priorities effectively.
+ Meeting Coordination: Attend weekly team meetings, transcribe accurate minutes, and circulate the final notes to appropriate stakeholders.
+ Reporting: Compile, prepare, and distribute regular weekly and monthly reports, in addition to ad hoc reporting requests as needed.
+ Data Management: Utilize Microsoft Excel and document management systems to complete data entry tasks with accuracy and efficiency.
+ Bid Preparation: Assist the sales team by creating bid drawings and assembling professional bid proposals tailored for clients and general contractors.
+ Pre-Qualification Processes: Collect and organize all necessary documentation for general contractor pre-qualification submissions.
+ Document Creation: Leverage advanced skills in Microsoft Word, PowerPoint, and Excel to produce presentations, reports, and other tools to enhance team productivity.
+ Customer Service: Manage inbound and outbound customer calls, expertly handle inquiries, and schedule appointments to maintain superior service standards.
Requirements • Proven experience in an administrative role, preferably in a sales or construction-related environment.
• Strong proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
• Exceptional organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
• Excellent written and verbal communication skills for preparing reports, minutes, and customer correspondence.
• High attention to detail and accuracy in data entry and document preparation.
• Ability to work collaboratively with team members across different divisions.
• Familiarity with customer service practices, including handling inbound and outbound calls.
