Job Summary
Coordinates all financial and personnel paperwork between the schools within the college as well as between the college and the university. Balances budgets and maintains administrative reports for the College of Education and Human Sciences.
Primary Duties and Responsibilities
+ Maintains financial records for the following budgets: State appropriated funds, special fund accounts, ancillary accounts, externally funded and special projects. Prepares appropriate financial and budget analyses for the Dean and Project Directors; monitors, verifies, and reconciles expenditures for these accounts for compliance with University policies and procedures to ensure propriety and consistency of budgetary actions; and reports variances to the Dean. Monitors all unit budgets and provides on-going and systematic fiscal data for units and college management information needs. Maintains/balances budgets in the Dean’s Office. Serves as College liaison with business services of the Foundation. Processes all requests for expenditures from the College account. Maintains up-to-date records of account balances and submits periodic reports.
+ Assists the Dean in the preparation of annual budget requests and compiles budgetary information. Coordinates the allocation of summer school budget to units within the college; verifies summer hiring personnel forms for accuracy and completeness. Coordinates requests for part-time faculty each semester. Verifies employment forms for completeness and accuracy. Communicates with units to reconcile projected and actual OL/PT. Provides oversight on faculty research startup budgets. Processes GA paperwork for the College and verifies for accuracy.
+ Processes personnel paperwork for all job searches within the College (e.g., PAF, Permission to Hire, Offer letters). Verifies annual faculty employment contracts for accuracy and completeness.
+ Meets as needed with school support staff to coordinate services, provide training, and to discuss financial matters related to policies, procedures, or services. Serves as a resource for interpreting and explaining regulations and budget policies and provides consultation as needed.
+ Prepares and processes all requests for purchases and other expenditures from accounts in the Dean’s office, which includes reviewing for availability of funds, communicating with vendors, transmitting approved requests to the appropriate university unit, and monitoring requests through to delivery.
+ Performs other duties as assigned.
Minimum Qualifications
Bachelor’s degree from four-year college or university and two years related experience.
Knowledge, Skills & Abilities
+ Adept in Microsoft Office
+ Proficiency with PeopleSoft
+ Ability to comprehend and apply techniques for financial and budget planning; skill in using mathematics to solve problems
+ Excellent written and oral communication skills and the ability to communicate with all groups of individuals
+ Excellent organization and time management skills; detail-oriented; ability to review work for accuracy
+ Resourceful and determined to provide a positive experience for others
+ Ability to anticipate needs and maintain strict confidentiality
+ Ability to analyze and prepare documents, reports, and correspondence
Preferred Qualifications
Masters’ degree and three years related experience.
