Sotheby’s International Realty Inc.’s Manhattan offices are searching for a highly organized and proactive Marketing Operations Administrator to join our marketing team. This is an onsite role and will report directly to our Regional Director of Marketing & Advertising.
In this role, you will be at the central point of coordination for our marketing operations, managing all incoming requests. You’ll help organize projects from start to finish - triaging requests, assigning tasks, and tracking progress to ensure timely delivery and clear communication. You'll work closely with our agents, designers, coordinators, and vendors to keep projects on track and support smooth day-to-day operations across the team.
This is a great opportunity for someone curious about real estate marketing and sales. You'll gain hands-on experience in the fast-paced NYC real estate market and learn the inner workings of one of the city’s top-performing brokerage.
Key Responsibilities:
+ Act as “air traffic control” for the marketing team by reviewing, organizing, and triaging all incoming project requests.
+ Own daily stand-up preparations to ensure team alignment and progress tracking.
+ Serve as the first checkpoint for project submissions, flagging incomplete briefs before they move into production.
+ Assign and monitor tasks in our project management system (Asana), ensuring priorities and deadlines are clearly communicated.
+ Collaborate with agents to troubleshoot issues, guide them through marketing systems and tools, and provide regular updates on project status.
+ Work with agents to proof and edit marketing materials to ensure accuracy and brand consistency.
+ Manage ad bookings in our internal Dashboard and through our media buying partner.
+ Support agent onboarding and assist with training on marketing tools and processes.
+ Track agent allowances and agent expenses.
+ Order and maintain marketing supplies, including presentation materials.
+ Support marketing team with ad hoc requests, presentations, and process documentation.
Qualifications:
+ Bachelor's degree in Marketing, Communications, Business, or a related field, preferred
+ Experience in the real estate industry is a plus
+ 1–2 years of experience in a marketing operations, project coordination, sales support, or customer service
+ Experience with project management tools (e.g., Asana, Trello, Monday, or similar)
+ Proficient in Microsoft Office; experience with Adobe Creative Suite (especially InDesign and Photoshop) is a plus
+ Highly organized with strong attention to detail and follow-through
+ Strong written and verbal communication skills
+ Comfortable working with a wide range of stakeholders, including internal teams, agents, and external vendors
