    Endoscopy Operations Manager

    Position Summary: Under supervision of Executive Director and Medical Director and in collaboration with the Nurse Manager, manage endoscopy unit daily operations including the supervision of the unit coordinators and endoscopy schedulers. Provide revenue coordination and analysis. Act as the primary coordinator and liaison to the revenue cycle department by reviewing and overseeing department charges for supplies, inventory reconciliation, case documentation, and posting of case charges. Assist department leadership by performing various documentation audits, monitoring unposted log cues, collecting procedure volume data and presenting monthly volume reports, and participating in department-based product review. In conjunction with leadership colleagues, develops and controls operating budgets for supplies, expense, wages, salaries and capital. Collaborates with physician, nursing and administrative leadership other projects and initiatives as assigned.

    Job Description:

    Essential Duties & Responsibilities

     

    Staff Supervision/Endoscopy scheduling: Supervises and directs the unit coordinators and endoscopy schedulers in their respective daily responsibilities. Provides leadership and guidance to schedulers to ensure scheduling guidelines are adhered to and opportunities for improvements in efficiency and accuracy are identified and executed. Develops work schedules to ensure proper staff coverage.

     

    Revenue cycle management: Collaborates with team leads to ensure supply charges are completed appropriately for each patient case by reconciling documented supplies vs. decremented inventory. Reviews patient documentation for supply charge accuracy based on case type. In conjunction with the professional coding department, review any procedure logs that are in a held status and correct any discrepancies for charges to be released. Assist the department in case volume tracking, volume trends, and schedule optimization.

     

    HR Function: Ensures that job descriptions are accurate and up to date; responsible for timely completion of performance appraisals and competency assessments for all staff. Oversight of colleague time away, overtime and shift work. In partnership with Human Resources ensures that policies and procedures are followed taking corrective action as needed. Interviews and hires prospective staff. Reviews job performance, disciplines and if necessary discharges non-performing staff. Provides training and guidance to new staff.

     

    Equipment management: Responsible for keeping tracking of Endoscopy equipment to ensure all preventative maintenance is completed in a timely manner, service contracts are up to date, and associated invoices are processed and paid.

     

    Budget and Control: In conjunction with administrative leadership develops annual budgets and monitors performance against budget weekly. Forecasts operating budgets and revenues for new fiscal year based on actual experience while developing opportunities for increasing volumes and reducing costs. Controls budget by identifying variances and suggesting corrective action to realign section performance with budget plan.

     

    Compliance: Designs and implements processes to maintain compliance with all policies and procedures on a daily basis.

     

    Responsible for maintaining operational performance measurements. Tracks and review performance targets and benchmarks as well as other improvement processes. Collaborates with administrative and clinical leadership to implement quality improvement initiatives.

     

    Incorporates the guiding principles and mission statement of Lahey Health into all daily activities.

     

    Complies with all policies established by Lahey Health

     

    Complies with behavioral expectations of the department and of Lahey Health

     

    Maintains courteous and effective interactions with colleagues and patients

     

    Demonstrates an understanding of job description, performance expectations and competency assessment

    Participates in and successfully completes mandatory education

     

    Performs other duties in support of the organization as required or directed.

    Minimum Qualifications:

    Education: BS in Healthcare Management or related field preferred

     

    Experience: Inventory management experience preferred

     

    Management or supervisory experience preferred, especially in a health care setting

    + Excellent discretion and ability to problem solve independently

    + Ability to prioritize, delegate and manage multiple responsibilities

    + Ability to foster relationships with department colleagues
