Description
The incumbent will possess thorough knowledge of the organization, and have the proven ability to make sound judgments on a day-to-day basis regarding assigned and ad hoc duties. Prioritizes inquiries and requests while troubleshooting conflicts with little guidance. The Executive Assistant II will have the ability to work independently on and manage multiple projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Duties include scheduling of appointments, preparation of external / internal correspondence, telephone/visitor screening, arranging complex and detailed domestic/international travel arrangements, coordination of meetings and receptions, preparation of presentation materials, maintenance / filing of documents, preparation of expense reports. May perform ongoing maintenance to various data bases and generate reports. Assist in arranging large colleague meetings/events including senior leadership staff.
Primary responsibilities include
+ Manage multiple projects simultaneously/in a timely manner.
+ Coordinates internal/external meetings, conference calls, and domestic/international travel. Schedule management.
+ Displays excellent communication skills in working with clients (internal/external), and vendors.
+ Reports and presentations including advanced graphics.
+ Accurately tracks expenses/process and submit expense reports in a timely manner.
+ Distributes agenda, meeting packages, and responsible for meeting minutes.
+ Data entry/filing.
Qualifications, Education, Certifications and/or Other Professional Credentials
+ Proven ability to exercise sound judgment and maintain confidentiality in a fast-paced, dynamic environment.
+ Deep understanding of organizational operations and the ability to manage competing priorities with minimal supervision.
+ Demonstrated success in independently managing multiple projects from initiation through completion.
+ Strong organizational and time management skills, with the ability to adapt to shifting priorities and deadlines.
+ Excellent interpersonal and communication skills, with a professional demeanor in interactions with internal and external stakeholders.
+ Proficiency in coordinating complex domestic and international travel, meetings, and events.
+ Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience preparing high-quality reports and presentations with advanced graphics.
+ Experience handling expense reporting, data entry, and document management with accuracy and efficiency.
+ Ability to take initiative, anticipate needs, and proactively solve problems.
+ Comfortable working under pressure and handling confidential matters with discretion.
Hours & Work Schedule
+ Hours per Week: 40
+ Work Schedule: M-F
