The Department of Natural Resources is seeking to fill one temporary full-time Office & Admin Specialist Senior position located at the Central Office Headquarters in St. Paul, MN. This position provides administrative support to the Policy and Planning section and Chief Financial Officer in the Operations Services Division. This is a temporary appointment with an end date of November 5th, 2025.
Responsibilities include:
+ Serve as project administrator on specific projects led by Office of Policy and Planning, including projects involving records management, library, data governance, continuous improvement, strategic planning, data practices, and/or rulemaking administration;
+ Provide administrative support to the process of soliciting, selecting, announcing, and disseminating Commissioner's Awards; and
+ Provide administrative support to section manager and staff as appropriate for travel arrangements, coordinate support activities with collogues across the division and agency, and assist the team as needed to ensure its operational success.
This position has a flexible work arrangement and may be eligible to telework on a part-time basis which is subject to change. If approved, the employee would be required to complete a telework agreement. this position will require reporting to the primary location on a regular basis.
Minimum Qualifications
+ Advanced word processing skills sufficient to carry out administrative tasks and ensure documents and records are complete, accurate, and current.
+ Customer service skills sufficient to respond promptly, professionally, and accurately to DNR personnel, vendors, the public, and other local, state, and federal agencies.
+ Proofreading/editing skills to ensure accuracy of written materials.
+ Advanced skills in spreadsheet and database software sufficient to accurately enter data, retrieve information, manage data, and generate reports.
+ Ability to develop administrative and programmatic procedures sufficient to create and modify procedures and manage electronic filing systems.
+ Spelling and grammar skills sufficient to accurately format and prepare letters, memorandum, forms, graphs, and legislative reports.
+ Knowledge of general office equipment, such as desktops and laptops; connectivity requirements for any remote/home office setups; standard multi-function machines for copying, scanning, and printing; and conventional phone and email systems.
+ Electronic and paper file management skills sufficient to maintain accurate, accessible, and audit-ready accounts of important agency communications and official records, as well as material necessary for successful planning and implementation of team projects.
+ Excellent oral and written communication skills sufficient to implement internal processes with customers, staff, and contractors.
Preferred Qualifications
+ Four (4) years of experience in an advanced administrative support role performing the following duties: supporting project managers or executives in planning and implementing complex initiatives; maintaining and/or making accessible records; and/or working with complex financial or other business data.
+ Experience with Microsoft Word, Excel, PowerPoint, and/or Teams at an advanced level.
