Description
We are seeking a highly organized and detail-oriented Administrative Support Specialist to provide comprehensive support. The ideal candidate thrives in a fast-paced environment, demonstrates strong communication skills, and maintains a commitment to operational excellence.
+ Act as liaison between internal teams and external stakeholders to support day-to-day operations.
+ Conduct research, analyze data, and identify/report discrepancies or deficiencies.
+ Manage the complete life cycle of work orders from initiation through completion.
+ Assist in the development and maintenance of procedures
+ Maintain both digital and physical filing systems in line with program requirements.
+ Professionally handle phone and email communications with clients and vendors.
+ Draft and distribute internal and external correspondence including memos, reports, and invoices.
+ Record, disseminate, and archive meeting minutes and key decision points.
+ Coordinate office services, including facility management and vendor interactions.
+ Ensure the office and facility remain clean, organized, and customer-ready at all times.
+ Greet and assist visitors, providing directions and support as needed.
+ Operate office equipment efficiently (e.g., computers, printers, scanners).
+ Identify and prioritize tasks critical to maintaining production flow.
+ Maintain organization and cleanliness within the stockroom.
+ Conduct regular audits to ensure compliance with company policies and regulatory standards.
+ Perform other production-related tasks as assigned.
Requirements
+ Proficient in Microsoft Office and general office equipment.
+ Excellent oral/written communication; strong grammar, spelling, and punctuation.
+ Highly organized, detail-oriented, and able to prioritize tasks independently.
+ Strong time management, problem-solving, and analytical skills.
+ Ability to follow detailed instructions and standard procedures.
+ Self-motivated, dependable, and deadline-driven.
+ Able to handle frequent interruptions and shifting priorities.
+ Maintains confidentiality and builds positive relationships with coworkers and clients.
