    Job Title: Administrative Assistant

     

    Job Type: Full-Time, Contract/Contract to hire

     

    Position Summary: Under limited supervision, the Administrative Assistant provides general administrative support to a department or group of professionals. This role involves collecting, compiling, and analyzing moderately complex data, preparing reports and presentations, and composing straightforward written communications. The position also serves as a key point of contact for foot, telephone, and mail traffic, engaging with the general public, tenants, merchants, contractors, and law enforcement personnel on a daily basis.

    Key Responsibilities:

    + Perform high-level administrative tasks, including confidential clerical work, scheduling, organizing, coordinating, and analyzing data.

    + Participate in administrative functions such as budgeting and developing spreadsheet tracking reports.

    + Assist in the coordination and implementation of internal and external property activities.

    + Act as a liaison with executives, employees, customers, and external contacts to facilitate information exchange and address requests and issues.

    + Evaluate and suggest improvements to management methods, reporting procedures, and workflow to reduce costs and increase efficiency.

    + Provide administrative support to various departments, including Accounting, Specialty Leasing, and Marketing, as needed.

    + Manage general office duties such as answering phones, greeting visitors, word processing, and handling mail.

    + Prepare, edit, and format reports, presentations, and correspondence.

    + Read and sort incoming mail, independently managing responses or routing as appropriate.

    + Oversee service-related functions including maintenance requests, office supply management, and file organization.

    + Schedule meetings, conference calls, and appointments; arrange travel as needed.

    + Maintain and distribute activity/event calendars and lists.

    + Track and update Insurance Certificates for tenants and vendors.

    + Serve as the go-to person for localized computer software and hardware support.

    + Perform other duties as assigned to support team goals.

    Qualifications:

    + Proven administrative or office assistant experience, preferably in a dynamic, multi-contact environment.

    + Strong organizational, problem-solving, and communication skills.

    + Proficiency in Microsoft Office Suite and general comfort with computer software and systems.

    + Ability to manage multiple priorities and tasks with a high level of accuracy and attention to detail.

    + Friendly and professional demeanor with excellent interpersonal skills.

    + A commitment to upholding the company’s core values in every aspect of the role.
