Description We are looking for a skilled and detail-oriented Executive Assistant to join our team in Hauppauge, New York. This long-term contract position offers an opportunity to support high-level administrative functions while working in a collaborative office environment. The ideal candidate will excel in multitasking, communication, and handling confidential information with a high level of care.
Responsibilities:
• Coordinate and manage daily administrative tasks, including scheduling, correspondence, and data entry.
• Prepare well-organized documents, reports, and forms using information from organizational databases and files.
• Utilize Microsoft Office applications such as Word, Excel, and Outlook, as well as Crystal Report Designer, to perform essential job functions.
• Maintain and organize files, records, and other documentation for easy accessibility.
• Resolve discrepancies in coding and data within internal systems and databases.
• Collaborate effectively with team members and stakeholders, including individuals with developmental disabilities.
• Prioritize multiple tasks and deadlines to ensure smooth workflow and timely completion of projects.
• Uphold confidentiality standards and follow organizational guidelines in handling sensitive information.
• Adapt to new proprietary databases and computer systems as required.
• Distribute faxes, scan documents, and perform copying tasks with accuracy and efficiency. Requirements • Minimum of 6 months of experience in administrative roles involving eMedNY, organizational systems, and Microsoft Office applications.
• Proven proficiency in Microsoft Word, Excel, Outlook, and Crystal Report Designer.
• Demonstrated ability to perform data entry tasks accurately and promptly.
• Typing speed of at least 35 words per minute.
• Strong verbal and written communication skills, with prior office experience showcasing professionalism.
• Ability to collaborate effectively in an office setting, including working with individuals with developmental disabilities.
• Skilled in prioritizing and managing multiple tasks while meeting deadlines.
