Overview:
Administrative Coordinator position dedicated to customer site performing all administrative functions under the under the supervision of the Site Supervisor and Client Delivery Manager. The position is responsible for all administrative functions within the client location. They work closely with clients to ensure their needs are met, and that they are satisfied with the company's services. They are responsible for managing client accounts, preparing reports, and ensuring excellent customer service.
Responsibilities:
+ Assists in the overall day to-day operations of the Administration Department, including maintaining financial transactions, ticket handling, record management, internal and external customer service, and purchasing.
+ Assures all administrative matters such as vendor invoices, account summaries, reports, and tickets are processed in a timely manner.
+ Assist Manager with record management and updates of the security and safety program.
+ Manages purchasing requisitions and follows up on requests. Reconciles invoices, packing slips, timesheets, etc. with the corresponding purchasing orders. Works directly with vendors to handle charge discrepancies.
+ Coordinate billing functions for various types of customer accounts, including; invoicing, and resolving billing related matters. Conduct monthly reconciliation of the customer ticket transactions to their respective accounts, to ensure billing accuracy. Works directly with customers to handle billing questions or discrepancies.
+ Record Management, including all filing, version control, and distribution.
+ Customer Service excellence; must be able to create a positive internal/external customer support experience and maintain strong customer relationships.
+ Effective communication and collaboration within all levels of the organization.
+ Must be able to work in a team environment, providing support.
+ Perform other duties as assigned by management.
+ Follow all policies and procedures as defined.

Qualifications:
+ High School graduate, with a minimum of (3) years of Administrative Support experience, and (1) year of basic accounting experience.
+ Proficient in Microsoft Office (Access, Word, Excel, Outlook, SharePoint)
+ Strong analytical abilities, attention to detail, organizational skills, and a strong aptitude for numbers
+ Excellence in customer service
+ Upon offer of employment, candidate must be able to successfully complete a (10) year FBI Background Check
