    Job Title: Accounts Payable SpecialistJob Description

     

    As an Accounts Payable Specialist, you will play a crucial role in managing the accounts payable function, processing invoices, and handling vendor inquiries primarily in the construction industry. You will assist the Controller with various accounting tasks and contribute to the efficient operation of the finance department.

    Responsibilities

    + Monitor the accounts payable email, which receives 20-30 invoices daily.

    + Manually process invoices, adhering to the 'pay when paid' setup.

    + Handle all vendor inquiries, mainly over the phone and also through email.

    + Work with vendors including construction companies, sub-contractors, and townships.

    + Assist the Controller with reconciliations, journal entries, percentage completion, and retainage.

    + Provide payroll backup and manage depreciation schedules for equipment.

    + Review and submit 3-4 expense reports per week.

    Essential Skills

    + Experience in accounts payable and invoice processing.

    + Strong accounting knowledge, including reconciliations and percentage completion.

    + Experience in the construction industry, working directly with contractors.

    + Ability to own the accounts payable function.

    + Proficiency in using ERP systems such as Vista Spectrum and View Point Tremble.

    + Experience with ADP for payroll.

    Additional Skills & Qualifications

    + Customer service mindset with excellent communication skills.

    + Detail-oriented with a strong focus on accuracy.

    Work Environment

    Work in a family-owned construction company with a supportive presence from the owners. The company is remodeling its current building, which resembles a multi-family home. You will be part of a small team with 60-70 total employees, including 25-30 salaried staff and around 8 people in the office. The company is working towards a more structured environment with planned software upgrades and a monthly close schedule. As part of the Carpenters Union, healthcare is covered 100% for employees, with additional benefits including profit sharing and contributions to a 401k without a match.

    Pay and Benefits

    The pay range for this position is $31.25 - $36.05/hr.
