Job Description
We are seeking an Executive Administrative Assistant to provide executive support to our Vice Presidents in the Research and Development and Marketing departments. This role demands exceptional organizational skills to oversee daily office operations and ensure efficient workflows and adherence to organizational policies.
Qualifications:
+ 8+ years of experience supporting leadership staff as a senior administrative professional.
+ Excellent oral and written communication skills to effectively communicate with high levels of the organization.
+ Ability to work independently and identify proactive solutions to complex situations.
+ Manage multiple tasks with high attention to detail, accuracy, and timeliness.
+ Advanced Microsoft Office skills.
+ High school diploma or equivalent; Associate degree or professional certification preferred.
Responsibilities
+ Provide executive support to the Vice Presidents of Research and Development and Marketing.
+ Oversee daily office operations, ensuring efficient workflows and adherence to organizational policies.
+ Manage and supervise administrative staff within Marketing and Research and Development teams, providing guidance, training, and performance evaluations.
+ Organize and coordinate meetings, events, and travel arrangements for senior management in collaboration with leadership administration.
+ Handle sensitive correspondence and communications, ensuring confidentiality and professionalism.
+ Assist in budgeting and expense tracking for administrative functions, ensuring compliance with financial policies, including travel and expense report management.
+ Monitor and report on administrative activities and project progress, providing updates to senior management.
+ Maintain and manage office supplies and equipment, ensuring availability and functionality.
+ Ensure compliance with organizational policies, regulations, and best practices.
+ Participate in special projects and other duties as assigned.
Work Environment
This role is located in Illinois and is open to a remote/hybrid arrangement, requiring three days per week in the office. The work schedule is a minimum of eight hours per day. Monday through Friday 8am to 5pm.

Pay and Benefits
The pay range for this position is $20.00 - $25.00/hr.
