    Job Title: Branch AdministratorJob Description

     

    The Branch Administrator will independently manage the day-to-day operations and general administrative activities of the branch division. This role requires collaborating with the Branch and Account Manager to execute various office tasks and projects, providing quality customer service to clients, and communicating to resolve client issues according to company guidelines.

    Responsibilities

    + Manage the branch division’s day-to-day operations and general administrative activities independently.

    + Collaborate with the Branch and Account Manager in executing various office tasks and projects.

    + Perform general administrative duties for the branch office and assist with seasonal transitions.

    + Provide quality customer service to all existing and prospective clients.

    + Communicate and resolve client issues in accordance with company guidelines.

    + Communicate and monitor branch deadlines.

    + Order and maintain branch office equipment and supplies.

    + Prepare and maintain enhancement proposals, work orders, and invoices.

    + Assist in the contract renewal process.

    + Maintain client database.

    + Prepare, maintain, and distribute various weekly/monthly/seasonal reporting to staff and customers.

    + Prepare and maintain job cost, productivity, and gross margin reports.

    + Assist branch with payroll, time and attendance processes, and reports.

    + Participate and contribute to the company’s lean management principles and strategies.

    + Perform other duties and responsibilities as requested or required.

    Essential Skills

    + Minimum 3 years of experience in an administrative or office manager capacity.

    + Experience and exposure to billing, invoicing, proposals, or contract review.

    + 3 years of experience using Microsoft Office tools.

    Additional Skills & Qualifications

    + Bilingual English/Spanish is a plus.

    + Experience in cyclical business industries such as landscaping or construction.

    + Experience with payroll processes, especially using Paycom.

    + Purchase Order and/or Work Order experience.

    + Ability to work independently with strong computer skills.

    + Attention to customer service skills.

    + Strong organizational skills with the capability of multitasking.

    + Ability to handle strong personalities.

    + Comfortable working alone in an office for long periods.

    + Adaptability to cyclical nature of business, managing fluctuating workloads.

    Work Environment

    This position requires coverage of two branches, primarily supporting the South Beloit location with occasional travel to the Hampshire office. The role is onsite from Monday to Friday, 8 AM to 5 PM. The office environment may often be quiet, being the sole administrative professional at each site, with Account Managers coming and going as needed. Frequent interaction with Controller, HR, Payroll, and Accounts Payable teams is expected. The business operates on a seasonal cycle influenced by weather, with varying workloads throughout the year.

    Pay and Benefits

    The pay range for this position is $20.00 - $24.00/hr.
