    Position Objective: The Supervisory Staff Assistant (SSA) will lead the operations of the Biochemistry and Biophysics Center (BBC), Division of Intramural Research (DIR), National Heart, Lung, and Blood Institute (NHLBI). The research team who comprises BBC carries out research that brings chemical and physical approaches to the study of biological problems. The principal investigators of the Center focus on topics that range from DNA transcription to cellular degeneration. To understand the mechanisms involved in these diverse processes, the investigators develop instruments and techniques to resolve, quantify, model, manipulate, and simulate biological mechanisms at molecular and cellular levels. The focus of Center research is to develop both experimental and theoretical models of biomolecular structure and use these models to discover the link between the structure, function, and regulation of biologically active molecules and processes. This basic research helps fuel scientific discovery that may one day help advance research related to heart, lung, blood, and sleep conditions or other fields.

    Duties and Responsibilities:

    + Serve as the primary liaison on behalf of the Center Director and other BBC staff; design and coordinate systems for communications among staff to facilitate the efficient flow of information related to projects and program activities for BBC;

    + Direct the overall administrative support services within BBC and serve as supervisor and responsible manager for the assigned administrative support staff within BBC; lead junior staff by overseeing workload and providing guidance in the completion of projects;

    + Schedule, organize, and create agendas/presentations/handouts for collaborative meetings; manage the Outlook calendar of the Center Director.

    + Organize, maintain, and update physical and electronic files; ensure that all files are easily accessible for others.

    + Assist in coordinating special projects and meetings on behalf of senior leaders within the NHLBI.

    + Make travel arrangements for the Center Director, BBC staff, and visiting guests as needed; prepare all documents related to local, domestic, and outside activity travel.

    + Oversee and process equipment and office supply order requests for BBC; serve as the point of contact in the administration of all maintenance contracts for office equipment.

    + Prepare personnel packages and develop checklists for non-FTE appointments and renewals; obtain required documentation from appointee (i.e. immigration paperwork, degree, reference letters, etc.).

    + Keep current on NIH operational policies and procedures; create new or update current BBC Standard Operating Procedures (SOPs) to reflect applicable changes.

    + Supervise three BBC Program Specialists; monitoring their work for accuracy, timeliness.

    + Monitor direct report performance metrics; provide annual performance reviews.

    + Troubleshoot any performance issues among BBC Program Specialist(s).

    + Serve as the central timekeeper for BBC staff.

    Basic Qualifications:

    + BS or BA degree in any field;

    + Strong research and analytical skills;

    + Dynamic personality with a high level of interpersonal skills in order to deal effectively and persuasively with all levels of an organization;

    + Ability to multitask in a fast-paced work environment and prioritize activities.

    Minimum Qualifications:

    + Ability to communicate effectively, orally and in writing, with non-technical and technical staff

    + Detail-oriented and possess strong organizational skills with the ability to prioritize multiple tasks and projects
