    Workplace Coordinator

    Job Description Summary

    The Workplace Coordinator is a critical member of the facilities and workplace operations team, responsible for delivering a seamless, efficient, and service-driven office experience. This role ensures the workplace remains clean, organized, and fully operational by overseeing daily facility tasks, maintaining shared spaces, managing inventory, and supporting employee services such as access, mail, and workstation readiness. Acting as the primary on-site support to the Workplace Manager, the coordinator plays a key role in executing workplace policies, vendor coordination, and space management initiatives.

     

    The ideal candidate brings a proactive, detail-oriented approach, with a strong commitment to service excellence and a deep understanding of workplace dynamics. They excel in fast-paced environments, demonstrate strong communication and problem-solving skills, and are dedicated to enhancing the employee experience through operational consistency, responsiveness, and professionalism.

    Job Description

    + Perform sanitation and resetting of workstations.

    + Maintain cleanliness of the café, meeting rooms, and shared spaces by managing trash bins, sanitizing surfaces, dusting, spot cleaning furniture, and conducting light carpet cleaning as needed

    + Load and unload dishwashers in the café to maintain cleanliness and ensure a constant supply of clean dishes.

    + Clean and maintain the coffee machine, including regular rinsing cycles and refilling supplies to ensure optimal operation.

    + Maintain inventory of café supplies and replenish stock as needed.

    + Conduct daily AV system checks

    + Liaise with IT to report and help resolve workplace-related technology issues (e.g., AV systems, desk equipment).

    + Perform weekly resets of conference rooms including furniture resets, whiteboard cleaning and restocking supplies.

    + Maintain and organize office supplies in the resource area, replenish items as needed, and track inventory levels to ensure availability.

    + Conduct daily office readiness walkthroughs, identify and report any issues to the Workplace Manager, and log findings in the 360FM system.

    + Support light furniture moves

    + Assess furniture condition and reset layouts

    + Retrieve and distribute incoming mail and deliveries

    + Support new hire onboarding and offboarding activities.

    + Process and track employee badge access requests

    + Assist with temporary badge issuance and guest access coordination.

    + troubleshoot locker code resets.

    + Perform Monthly locker Audits

    + Submit and follow up on building management work orders.

    + Log and track daily facility work orders in 360FM.

    + Escort vendors onsite for service visits and ensure they comply with health and safety protocols.

    + Monitor and respond to requests in the Workplace inbox

    + Support company events and set up logistics

    + Inspect unoccupied floors

    The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.

     

    The company will not pay less than minimum wage for this role.

     

    The compensation for the position is: $27.66 - $27.66
