I. Position Summary:
Works independently under regular supervision and follows structured work routines. Works in a fast paced, multi task environment with high volume and immediacy needs requiring independent decision making and sound judgment to prioritize work and ensure appropriateness and timeliness of each patients care. This position requires the ability to retain large amounts of changing payer information/knowledge crucial to attaining reimbursement for the services provided, as well as proficiency in scheduling guidelines for multiple outpatient departments. Primary external customers include patients and their families, hospital departments, physician office staff and third party payers.
II. Position Relationships:
A. Responsible to: PM&R Coordinator and Rehabilitation Program
Manager/Outpatient.
B. Workers Supervised: None
C. Interrelationships: Continual contact with physicians and
physician’s office staff, patients, patients’
families, departmental and hospital personnel.
III. Responsibilities and Authorities:
A. Performs other duties as assigned by the department's management staff.
B. As patient care and/or Hospital need dictates, both the assigned shift and
work station may be changed by the department.
C. Participates in and promotes the “I CARE” service philosophy of Integrity,
Customer Centered, Accountability, Respect and Excellence.
D. Performs essential job functions with or without reasonable
accommodations.
E. Greets patients, staff, and public.
F. Performs pre-registration/registration processes by sending patient
information to outpatient grouper in order for patient to be registered and insurance verified. Obtains all necessary signatures and documentation required by the patients’ insurance plan.
G. Schedules evaluations and treatments for clinics.
H. Performs excellent communication and telephone skills.
I. Prepares charts for new patients.
IV. Performance Factors Used to Evaluate Employee:
A. Receives physician orders and seeks clarification, if necessary. Verifies insurance and sends information to registration to complete process in a timely manner.
B. Schedules patients for evaluations and treatments using computerized scheduling systems. Resolves scheduling conflicts, as needed. Documents all information regarding patient account activity, including cancellations and rescheduling of procedures/treatment up to and including notification to individual modalities as needed.
C. Accurately enters patient information in computerized scheduling system and gathers information and modifies files within regulatory requirements while meeting department accuracy goals. Compiles and reports statistical data as assigned.
D. Distributes education materials to patients and families, including procedure preparation instruction when necessary. Responds to diverse questions or refers to appropriate clinical staff or person.
E. Performs all functions according to established policies, procedures, regulatory and accreditation requirements, as well as applicable professional standards. Understands and follow Medical Center Health System policies and procedures.
V. Qualifications:
A. Education:
High School diploma or equivalent.
B. Training and Experience:
1. Must possess excellent organizational skills, as well as effective
human relations and communication skills.
2. Be proficient with commonly used office software and computers.
Must be able to maintain accurate statistical records, gather data and produce reports.
3. Two years of medical clerical experience; preferably in a hospital or
physician office scheduling setting and completion of Medical Terminology course(s) preferred.
VI. Unusual Physical Demands and Working Conditions:
A. Ability to perform:
1. May require to lift up to 20 pounds.
2. Sustained sitting, standing and walking
3. Adequate visual acuity, ability to grasp and handle objects.
B. May require travel from location to location within the Health System.
