Pay Range: $19.45 to $25.00 per hour
The University of St. Thomas has provided a salary range that represents its good faith estimate of what the University may pay for the position at the time of posting. The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.
JOB SUMMARY
The Student Accounts Coordinator is responsible for managing and maintaining student tuition accounts with accuracy and confidentiality. This position serves as a primary point of contact for students and families regarding billing, payments, and account inquiries. The coordinator ensures timely processing of payments and deposits maintenance, all while providing excellent customer service and support. Additional responsibilities include reconciling accounts and collaborating with departments such as Financial Aid and the Registrar to ensure account accuracy and compliance with institutional policies and federal regulations.
ESSENTIAL FUNCTIONS
1. Student Accounts Service and Support
+ Acts as main point of contact to students and families (in-person, over the phone, email, or online) regarding student account issues, university/department policies, and other related questions. Ensures payments, outside scholarships, and other credits are accurately applied to student accounts and investigates to resolve discrepancies, disputes, or concerns. Refers miscellaneous inquiries to other campus departments as needed. Assists the campus community with general Business Office questions. Contributes to special projects, presentations (such as orientation), and other initiatives as assigned. Requires extensive knowledge of tuition accounts, University, Business Office, Registrar, and Financial Aid operations, policies, and procedures
2. Cashiering, Records Maintenance, and Accounting
+ Processes cash, check, and payment card transactions for student, external, and contract accounts. Assists departments with deposit payment maintenance including releases, forfeits, refunds, deferrals, and reconciliations. Processes departmental deposits. Completes journal vouchers, adjustments, corrections, and reconciliations as needed, so basic accounting knowledge is required.
+ Maintains vault and cash drawer, balancing daily and ensuring cash levels and denominations are sufficient for servicing campus needs. Downloads/uploads electronic payment files and scans checks to deposit electronically. Ensures office compliance with record retention protocols by scanning, filing, or destroying documents as required.
3. Administrative & General Office Support
+ Sorts and distributes daily Business Office mail. Maintains the order and cleanliness of the general office spaces. Monitors levels and places orders for office supplies and paper products. Assists with training and direction of student workers. Provides back-up assistance for other processes as appropriate.
QUALIFICATIONS
Minimum Qualifications
+ High School diploma or the equivalent
+ Two years of accounting experience
+ General understanding of accounting principles
Preferred Qualifications
+ Cash handling experience, data entry skills, and customer service skills
