    This opportunity is for a Secretary to perform clerical functions for the Bedford Clinical Services Unit (CSU). This position schedules appointments, answers phone calls, takes payments, prepares letters, completes registration for new consumers, scans documents, and performs other office duties.

    DESCRIPTION OF WORK

    This position involves supportive and clerical duties in the Bedford Clinical Services Unit (CSU).

     

    Completes registrations for individuals enrolling in services with Cornerstone Community Services (CCS). Duties include:

     

    + Meets with individuals to verify insurance information to ensure that necessary insurance requirements have been completed.

    + Schedules appointments with provider staff; Psychiatrists, Clinicians, and Nurses.

    + Prepare and mail individual appointment letters. If necessary, contact insurance companies via phone to verify eligibility and benefit information, insurances, start the intake process, sign Releases of Information (ROIs), sign Consent to treatment form, and reviews Privacy practices.

    + Enters information into Electronic Health Record (EHR).

    + Complete initial insurance authorizations in addition to monitoring and tracking authorizations to complete reauthorizations for services as needed.

    + Secure Releases of Information for individuals in order for information to be obtained and/or exchanged with other pertinent providers of service. Responsible for all information gathered from individuals regarding financial information, insurance coverage, Releases of Information, and proper provider facility information to be entered into the EHR.

    + Provide coverage in the CSU check-in office.

    + Perform switchboard/receptionist duties for the CSU Department which involves answering calls, taking messages, redirecting calls as needed and greeting visitors.

    + Refers individuals to the Crisis Department when the individual is in need of immediate assistance and a Psychiatrist, Nurse, or Therapists is not immediately available. Collect co-pays from individuals, writes cash receipts and forwards to the Finance Department. Handles cash and checks received.

    + Compose and type correspondence to the physician regarding medication issues, contact local pharmacies regarding medications if needed. Updates contact information in the EHR for individuals receiving services and checks individuals in for their therapist/doctor appointments.

    + Obtains individuals' signatures on Encounter Forms, Treatment Plans, Treatment Plan Updates, and Releases of Information, when needed.

    + Types letters, memos, reports and forms; schedules appointments; handles cancellations and reschedules; copies materials for staff and adheres to Agency rules and regulations.

    + Shred needless confidential information. Pick-up, sort, review, and route all incoming mail/inter-office mail. Process all outgoing mail. Make reminder phone calls as needed. Obtain information requested by other Cornerstone Community Services programs.

    + Serves with other clerical staff in providing switchboard coverage as needed.

    + Run weekly billing report to check for errors or documentation errors and submit to Supervisor.

    + Run weekly insurance report to check for active/inactive insurances of any new intakes that have occurred.

    + Perform other related duties as required.

    Work Schedule and Additional Information:

    + Full-time employment

    + Work hours are 8:00 AM to 4:00 PM, Monday - Friday, with a 30-minute lunch. On occasion, staff may need to work hours outside of the set work week to complete projects, meet work demands or in the event of an emergency.

    + This position reports to the DBHS Office for work. Upon hire, new staff begin training and are on probation for 6 months. This position is typically not eligible for remote work; however, one day periodically of remote work may be approved on a case by case basis.

    + Telework: You will not have the option to telework in this position.

    REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

    QUALIFICATIONS

    Minimum Experience and Training Requirements:

    + Six months as a Clerk 1 and educational development to the level of the eighth grade;or

    + Completion of a high school business curriculum;or

    + Any equivalent experience and/or training which provided the required knowledges and abilities.

    + You must pass a background investigation.

    + This position falls under the provisions of the Older Adult Protective Services Act.

    + Under the Act, a conditional offer of employment will require submission and approval of satisfactory criminal history reports, including but not limited to, PA State Police and FBI clearance.

    + This position falls under the provisions of the Child Protective Services Law.

    + Under the Law, a conditional offer of employment will require submission and approval of satisfactory criminal history reports including, but not limited to, PA State Police clearance, PA Child Abuse history clearance, and FBI Fingerprint clearance.
