    The Department of Obstetrics and Gynecology (OB/GYN) is involved with teaching, patient care, and research in the areas of normal and abnormal human reproduction: growth and development of the fetus, normal and complicated obstetrics, and surgical and medical diseases of the female reproductive system, including reproductive endocrinology and infertility, oncology, urogynecology, global women's health, genetics, infectious disease, psychosocial problems, preventive health care, and ethics. The department also provides primary and preventive health care for women.

    POSITION PURPOSE

    The Department of Obstetrics and Gynecology (OB/GYN) has an outstanding opportunity for an HR Specialist, Central Administration. This position is supervised by the Academic Human Resources Administrator and has a matrixed reporting relationship to the Associate Director of Administrative Operations and the Vice Chair, Finance and Administration. The purpose of this position is to manage the operational and programmatic administration of the faculty and staff recruitment and appointment process, onboarding administration and associated processes.

     

    The Department educates future OB/GYN physicians and specialists, advances research, and provides primary and specialty clinical care to 18 sites across the state. The Department is actively involved in clinical service, research programs, residency training programs and educational programs. The department employs approximately 100 clinical and research faculty and over 250 clinical faculty, 28 residents, 12 fellows, and 60 staff. Our department has 11 separate clinical divisions and a research division, all led by nationally regarding clinicians and scientists.

     

    **DUTIES AND RESPONSIBILITIES** Faculty and Staff Recruitment, Appointments, and Onboarding (40%)

    + Independently manage faculty and administrative staff appointments from point of recruitment to onboarding for new staff and faculty at multiple sites of practice, to offboarding of separating employees

    + Meet and guide candidates for on-site interviews and new faculty and staff to complete on-site onboarding tasks

    + Schedule complex interview and onboarding itineraries

    + Manage and oversee faculty recruitments through Interfolio. Create/edit job descriptions and post as needed to additional career websites.

    + Provide detailed, concise communication with department staff and faculty, including policy interpretation, and ensure accurate and timely completion of required materials for every appointment package

    + Develop and create complex best practice guidelines, comprehensive materials, checklists, templates and resources for the faculty onboarding and offboarding lifecycles

    + Independently manage Courtesy Faculty Appointments processCourtesy Faculty Reappointment and Promotion Process (20%)

    + Independently advise division heads, administrators, Department Promotions Committee and faculty on reappointment and promotion processes and timelines including methods of data collection/submission

    + Maintain compliance with faculty code requirements and applicable timelines

    + Develop and implement tracking systems for faculty reappointment and promotion processes

    + Ensure compliance with university deadlines by development and oversight of faculty voting processesFaculty Annual Review & Development (20%)

    + Partner with Associate Director of Administrative Operations, department chair’s office, division heads and administrators on faculty review processes to ensure compliance with faculty code requirements and university deadlines.

    + Independently develop clinical peer/teaching evaluation data and programs according to faculty code

    + Independently develop and maintain tracking systems to ensure annual reviews are performed for the faculty each year according to activity and leadership schedules.

    + Independently support faculty development initiatives such as Faculty 360sSpecial Projects and Process Improvement (20%)

    + Manage and enhance complex working relationships with internal and external stakeholders to document policies, provide advice and work with faculty/administrative team members.

    + Monitor the needs of the department’s academic HR program and refine new and existing systems as the program evolves.

    + Ensure that tasks in academic and staff human resources are completed in a timely and accurate manner, using systems such as UW Workday. **DUTIES AND RESPONSIBILITIES**

    + Bachelor's Degree in Business, Public Administration, Health Care Administration or related field

    + Two to three years of job-related experienceEquivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. **ADDITIONAL REQUIREMENTS**

    + Experience in an Academic Medical Center environment or related management, administrative, or customer service experience. **DESIRED QUALIFICATIONS**

    + Prior experience working in academic medicine or higher education

    + Prior experience working with Interfolio

    + Experience creating and carrying out digital surveys (e.g. Redcap, Qualtrics).

    + Outstanding verbal, writing, reading, and communication skills

    + Proven administrative, organizational, interpersonal, and problem-solving skills.

    + Ability to prioritize concurrent projects under pressure of deadlines with consistent accuracy and attention to detail.

    + Demonstrated commitment to customer service.

    + Ability to handle confidential information responsibly.
