Responsibilities:
GENERAL PURPOSE
Working under the direction of the Supervisor, Staff Administration, with minimum direction and considerable latitude for independent judgment, performs routine and non-routine duties requiring highly advanced administrative skills and proficiency. Individual provides support for the Directors and Management Team of the Department of Pharmacy, as well as the department’s residency programs. Incumbent is responsible for considerable departmental administrative details and duties requiring experience with policies, procedures, and practices of the University/SMH or in other demonstrated and related equivalent situations. With regard to department business matters, individual has frequent contact with Directors, faculty members, medical, and other administrative staff. Is responsible for the review and maintenance of the day-to-day clerical operations for the department.
ESSENTIAL FUNCTIONS
+ Provides scheduling support to the inpatient department to include managing senior leadership calendars, scheduling interviews, and scheduling meetings.
+ Supports the department’s residency program.
+ Including, scheduling yearly events, residency graduation, residency onboarding, and collaborating with the education coordinator on matching of residents to URMC.
+ As well as, other Residency duties that apply.
+ Processes reimbursement for the department to include, certifications, classes or related licensure reimbursement.
+ Coordinates travel arrangements for leadership including booking flights and hotels, assuring timely meeting registration and processing travel-related expense reports.
+ Support the department with supply ordering and event coordination.
+ Support the departmental student rotations, including high-school shadowing and APPE rotations.
+ Collect required documentation from students to fulfill the on-site requirements.
+ Communicate with the preceptors and Pharmacy Education Coordinator as needed to ensure all rotations are prepared ahead of their start date.
Other duties as assigned such as assisting with department accreditations, coordination of community events, and pulling reports to gather data for projects.
MINIMUM EDUCATION & EXPERIENCE
+ Associate's degree and 2 years of relevant administrative experience required
+ Bachelor's degree preferred
+ Or equivalent combination of education and experience
KNOWLEDGE, SKILLS AND ABILITIES
+ Ability to maintain confidentiality required
+ Exceptional organizational, time management, and administrative skills required
+ Strong communication skills, both verbal and written required
+ Strong technical skills, including a high proficiency in Microsoft Office required
+ Excellent interpersonal skills and ability to interface effectively with a broad array of individuals including hospital leadership, department heads, other administrative assistants, staff, faulty, and students preferred
+ Excellent attention to detail and ability to work independently preferred
+ Demonstrates excellent customer service skills, has a commitment to issues of engagement and the ability to work in a team setting with all levels of management, faculty and staff preferred
