Job Description Summary
Cushman & Wakefield is seeking a highly organized and proactive Administrative Assistant to join our Administrative Center of Excellence (Admin COE) Team within the Valuation & Advisory service line. This role provides dedicated support to Market Leads and is instrumental in ensuring smooth operations, efficient workflows, and effective communication. The ideal candidate thrives in a fast-paced environment, excels in multitasking, and has exceptional attention to detail.
Job Description
Key Responsibilities:
Administrative Support:
+ Manage and prioritize Market Leads’ calendars, appointments, and correspondence.
+ Prepare and edit reports (to include redactions), presentations, and other documents as needed.
Expense and Time Management:
+ Submit, manage, and approve expenses and timesheets on behalf of Market Leads.
+ Ensure timely and accurate processing of expense reports in compliance with company policies.
Travel Coordination:
+ Arrange and manage travel itineraries, accommodations, and transportation for Market Leads.
+ Anticipate and resolve any travel-related issues promptly.
Event Planning and Coordination:
+ Plan and coordinate internal team events such as happy hours and team get-togethers.
+ Assist with the planning and execution of external client events.
+ Managing RSVP headcount, company collateral and on-the-ground coordination with key stakeholders for events.
SharePoint Site Management:
+ Create, maintain, and update SharePoint sites for the markets supported.
+ Ensure accurate and accessible documentation and resources.
Presentation, Newsletters and Communication:
+ Design and modify PowerPoint presentations to support internal and external meetings.
+ Draft and distribute professional communications on behalf of Market Leads, including monthly newsletters and region-wide notices.
Onboarding and Offboarding Support:
+ Assist in onboarding new hires, including coordinating access, tools, and resources. Assist with pre-onboarding tasks to include new employee reach-out for headshots and “Get to Know You” information and announcement deliverables (graphic and newsletter).
+ Assist Market Leads and Operations Team with offboarding processes for exiting employees to ensure compliance and equipment return deadlines are met and accounted for.
Employee Recognition:
+ Track, maintain and complete tasks associated with employee-related “Moments that Matter” including celebration of service date anniversaries, designation awards, significant life events and career milestones of our employees.
License Renewal Management:
+ Track and maintain license renewals for key stakeholders with appraisal licenses.
+ Ensure timely reminders and assist with renewal submissions as necessary.
Other Duties as Assigned:
+ Collaborate with the Admin COE Team to implement best practices and improve operational efficiency.
+ Support additional projects and initiatives as needed
Qualifications:
+ **Education:** Bachelor’s degree preferred; high school diploma or equivalent required.
+ **Experience:** Minimum of 5 years of administrative experience.
+ **Technical Skills:**
+ Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and SharePoint).
+ Experience utilizing Adobe products (Adobe Acrobat Professional and Adobe Photoshop)
+ Familiarity with expense management tools and systems.
+ Experience with onboarding/offboarding processes and tracking systems is a plus.
+ **Soft Skills:**
+ Strong organizational and time-management skills.
+ Excellent written and verbal communication abilities.
+ High level of discretion and professionalism in handling sensitive information.
+ Ability to work independently and collaboratively within a team environment.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
The compensation for the position is: $22.47 - $26.44
