Summary
The Event Operations Coordinator provides critical support in managing event resources, logistics, and administrative functions to ensure seamless execution of event programs. They collaborate with our Events operations team, internal teams, and staffing resources to maintain operational efficiency, facilitate interdepartmental communication, and support day-to-day department functions. This role is essential in coordinating staffing needs, maintaining compliance, and optimizing processes to enhance overall team performance.
This position will support our Events Execution team. It is eligible to work a hybrid schedule, generally requiring work in-office 3 days per week. This position is based out of Philadelphia, PA or Detroit, MI.
Essential Duties & Responsibilities
• Support team resourcing, role identification and staff procurement, including identifying, and tracking staff assignments across all programs, including RFPs.
• Coordinate all resourcing communications and outreach for internal and external staff members.
• Work closely with Operations Managers, and project leads to understand the specific staffing and operational requirements for all programs.
• Support staffing programs with FlexForce resources as needed, including management of contracts, resource documents, and ensuring up-to-date database management within various systems.
• Work closely with outside vendors including Professional Employee Organizations (PEO) - Worksuite, Atrium, Airtable, etc.
• Support and enhance team standards, practices, and procedures, including new processes as necessary to improve efficiency.
• Foster clear and effective communication across all levels of the organization.
• Support with FlexForce compliance rules, invoices, and expense charges associated with programs.
• Provide miscellaneous administrative tasks to the entire Events Operations department, Including, but not limited to, signature support, NDAs, meeting logistics, etc.
• Maintain and manage the Events team calendar to guarantee seamless resource scheduling.
• Support local office needs and department supplies.
• Provide department coverage during “Out of Office” periods to ensure continuity of Events Operations.
• Assist with onsite support for miscellaneous upcoming projects and/or offsite meetings as needed.
• Travel may be required to support meetings as assigned (up to 15%).
Education & Experience
• Bachelor's degree or equivalent experience.
• 1 -2 years of experience in Events, Operations, HR or similar capacity preferred.
• Excellent computer skills, including Google Suite, Microsoft Office and Apple applications, Airtable, Slack, collaborative team and resourcing project software, etc.
• Strong attention to detail, a positive attitude, and a team player.
• Ability to operate within a fast-paced environment.
• Excellent written, verbal and interpersonal communication skills.
• Excellent time management and ability to multi-task.
• Must be able to work evenings, weekends and holidays as needed.
