    The **Medical Office Clerk** shall process registrations, Lifetime Pharmacy Encounters (LPE), Update Newborn names, ambulatory procedure registrations, birth pre-registrations, birth certificates, state statistical worksheets, Acknowledgement of Paternity, Affidavit of Corrections, secretarial designations, decedent affair information daily and become a Notary.

    Responsibilities

    + Enter, manipulate, and/or add/retrieve information and data from the following: The Military Health System Genesis (MHSG), Electronic Death Reporting System (EDRS), Virginia Vital Events and Screening Tracking System (VVESTS), General Inquiry to DEERS (GIQD) and other databases as required. Submit necessary reports in a timely matter maintain all office supplies.

    + Communicate with Hospital Leadership, Doctors, Staff, Criminal Investigations Department (CID), and other various points of contact to obtain missing information and to verify unclear information on patient records.

    + Prepare and gather all documents pertaining to the decedent affair cases, file documents as necessary, fax reports to necessary parties as required. Search and/or verify all information as necessary to ensure accuracy of reporting. Transmit patient information following HIPAA regulations.

    + Arrange for funeral home pickup and transportation of deceased and ensures remains are ready and available for transport. Verification of deceased is required (toe tag verification).

    + Coordinate autopsy for patients who have expired at A.T. Augusta Military Medical Center. Track Secretarial Designee cases. Proofread and check format, spelling, grammar, and punctuation of all documents. Distribute documents to various agencies internally as well as to outsize of the organization. Notarize death, birth certificates and other documents as necessary. Notarize Affidavit of Corrections and Acknowledgment of Paternities.

    + Showcase excellent customer service skills, answer telephones and give information to callers, direct calls, take messages or transfer calls to appropriate individuals. Greet visitors and Direct or callers and handle their inquiries or direct them to the appropriate persons according to their needs.

    + Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer.

    + Communicate with customers, employees, and other individuals to answer questions, disseminate, or explain information, take orders, and address complaints.

    + Other duties as assigned.

    Qualifications

    + High School diploma or General Educational Development (GED) equivalency.

    + Minimum one (1) year experience performing a variety of administrative and clerical functions utilizing modern office technology and equipment in a hospital setting with an emphasis on customer-friendly communication and interpersonal skills

    + Type a minimum 40 words per minute

    + Possess a notary license for the state of Virginia

    + Possess your own personalized notary Embosser

    Knowledge, Skills and Abilities

    + Experience with Military Health System Genesis (MHS-G)

    + Experience with Electronic Death Reporting System (EDRS)

    + Experience with General Inquiry to DEERS (GIQD)

    + Knowledge of a variety of computer software applications in word processing, spreadsheets, database, presentation software (MSWord, Excel, Access, PowerPoint), and Outlook.

    + Ability to operate standard office equipment, such as computers, typewriters, copiers, scanners, fax machines, telephone systems, voice mail systems, and label makers.

    + Ability to clearly articulate and communicate in English, correct grammar, spelling, punctuation, capitalization, and format to prepare written correspondence, forms or reports.

    + Ability to speak Spanish any other foreign languages or sign language is highly desirable.

    + Ability to use automation systems including Military Health System Genesis (MHS-G), EDRS, DVS, General Inquiry to DEERS (GIQD), Joint Knowledge Online (JKO) and Relias.

    + Knowledge of policies and procedures in the A&D section (Register/Admit/transfer/disposition of patients).

    + Knowledge of policies and procedures in the AEROVAC, Decedent Affairs and Birth Registration.

    + Knowledge of Medical Terminology required to transcribe appropriate entries in MHS-G.

    + Knowledge of regulations/policies related to patient identification requirements and patient eligibility through GIQD.

    + Possess organization and time management skills.

    + Exceptional interpersonal and communication skills, as well as the ability to display great tact and diplomacy both in person and on the telephone.

    + Knowledge of military ranks and procedures.

    + Knowledge and understanding of HIPAA regulations.
