The New Energy New York Battery Tech Hub is actively seeking a Senior Administrative Assistant to support the leadership team. The main responsibility of the Senior Administrative Assistant will be to provide direct support to the Executive Director and Chief Ecosystem Technology Officer.
Operational Administration:
The Senior Administrative Assistant will be responsible for:
+ Manage daily calendars by scheduling internal and external meetings, appointments, travel arrangements, and special events. Independently resolve scheduling conflicts, prioritize requests, and confirm meeting details.
+ Prepare correspondence independently on a variety of matters; compose and type a variety of materials such as inter-office communications, forms, letters, memos, agendas, reports, newsletters, flyers, applications, notices, bulletins, brochures, publications, official correspondence, notices and proposals; review, revise, edit, format and proofread a variety of complex documents and information.
+ Assist with logistics related to preparation for, implementation of, and follow-up of meetings, including assisting with the production, assembly and distribution of meeting materials.
+ Organize high-level meetings with partners and constituencies and disseminate corresponding meeting materials.
+ Draft communication on behalf of the leadership team.
Sponsored Program Administration:
The Senior Administrative Assistant will:
+ Assist with the oversight of sponsored programs and research related activities in accordance with federal regulations, University and sponsoring agency policies.
+ Assist with the preparation of grant applications, including gathering information and compiling supporting documents for submission to funding agencies.
+ Process, review and verify financial transactions and purchase requisitions to ensure allowability and allocability in accordance with sponsor award terms and conditions.
+ Assists with the completion and submission of required technical, progress, personnel and programmatic reports.
Job Requirements:
+ Associate's degree with a minimum of three years' experience as an assistant to a senior administrator in higher education or business setting
+ Strong administrative, organizational, planning and analytical skills; high degree of accuracy, timeliness and attention to detail
+ Proven ability to handle sensitive situations and highly confidential information with tact, discretion and diplomacy
+ Advanced computer skills, with demonstrated proficiency with applications such as MS Office Suite and MAC mail and calendar
+ Highly organized, shows initiative demonstrated by the ability to anticipate and think forward
+ Ability to communication effectively, both verbally and in writing, with continuous attention to detail in composing, typing and proofing materials
+ Ability to work independently with minimal supervision, manage priorities, work efficiently, handle multiple projects with tight deadlines, proven self-starter, strong problem-solving skills and exercise good judgment in a dynamic environment
+ Exceptional customer service and organizational skills, with the ability to handle sensitive and confidential information appropriately
+ Event, meeting and travel planning skills
Preferred:
+ Bachelors degree with a minimum of three years' experience as an assistant to a senior administrator in higher education or business setting
Additional Information:
Salary: $55,000 - $60,000 annually. This is a grant funded position, currently supported through August 31, 2026
