    Summary:

    Schedule: Monday-Friday 8a-430p; 40hrs per week

    Under the direction of the Director of Employee Relations and HR Compliance, the HR Compliance Specialist is responsible for ensuring that the organization’s HR practices and policies adhere to applicable legal, regulatory, accreditation and organizational requirements. Manages HR-compliance related activities, conducts audits, reviews and develops HR policies, responds to personnel file requests and subpoenas for employment records.

    Job Responsibilities

    + Maintains and oversees the HR file room and digital record systems, ensuring secure, organized, and up to date storage of employee personnel file in compliance with legal, regulatory, and organizational standards. Regularly review and purges outdated or obsolete records in accordance with retention policies, ensuring timely destruction of files no longer required to be maintained. Monitors and updates file management process to maintain accuracy, security, and accessibility of records.

    + Responds to personnel file requests within the legally required timeframes, ensuring contents are complete and appropriate for distribution in compliance with state and federal employment laws and regulations.

    + Coordinates and prepares employee records subject to subpoena and maintains proper files and records for subpoena requests.

    + Assists with human resources compliance-related reporting, including EEO-1, VETS-4212, OFFCP and other required reporting/filing.

    + In collaboration with Onboarding and HR Answers teams, maintains accurate and up-to-date employee personnel records and documentation in accordance with legal, regulatory, accreditation and organizational requirements.

    + Regularly audits employee records for completeness and compliance with legal, regulatory and healthcare accreditation standards, including the Joint Commission standards.

    + Collaborates with HR policy owners and subject matter experts to develop, update and maintain HR policies and procedures that align with best practice and are compliant with applicable laws and regulations.

    + Leads the ongoing evaluation, preparation and support for HR-related standards for regulatory and accreditation surveys, inspections and audits. Serves as HR representative for surveys.

    + Coordinates and manages employee compliance for numerous annual human resources compliance requirements in conjunction with other HR divisions.

    + Assists with responding to HR-related requests from outside agencies.

    + Appropriately escalates HR compliance related requests or issues for review and approval.

    + Responsible for collecting and distributing HR division mail to appropriate personnel

    + Assist with HR-related projects and initiatives as needed.

    Preferred Experience/Skills

    + Minimum of 3-5 years of experience in a high-volume HR coordination function in a large complex organization

    + Board knowledge of HR principles, practices and employment laws.

    + Experience with Workday HCM

    + Excellent attention to detail and ability to maintain accuracy in recordkeeping

    + Strong communication skills to effectively collaborate with various departments and stakeholders

    + Strong understanding of healthcare regulations and Joint Commission standards
