    Summary:

    Schedule: Monday-Friday; 40hrs per week; Hours between 930a-6pm; No weekends; no holidays.

    Job Responsibilities:

    **1)** Quality of Service: Monitors and manages administrative work flow, operations and productivity. Collaborates with appropriate administrative and departmental staff to ensure effective and efficient communications and operational activity.

    **2)** Financial Management: Manages timeline and information gathering for department and capital budgets.

    **3)** Human Resources: Develops staff to demonstrate new competencies to support departmental goals and priorities

    **4)** Education: Coordinates development of educational offerings, annual retreat, practice manager and surgeon/anesthesiologist breakfast meetings, and site tours at BMC and other regional sites.

    **5)** Program Integration and Development: Participate in the development and management of strategic work plans for Perioperative Services. Coordinates and manages requests and allocations in conjunction with special projects.

    **6)** Information System Management: Coordinates departmental office automations user training, product purchase and upgrades. Constructs and maintains complex databases and reports.

    **7)** Facilitation: Manages the facilitation process for various meetings as requested by the Assistant Director and the Medical Director. Preparation of Forms and Flow Charts.

    **8)** Communication: Coordinate the development and distribution of departmental newsletters.

    **9)** Project Collaboration - Participates as a team player with the management team on projects. Assists in preparing complex administrative reports, statements, rosters, etc. Performs difficult data and/or information gathering, computes complex calculations, spreadsheets, draft and prepare special report analyses for review by supervisor.

    **10)** Works independently on approval of clinical privileges and maintaining up-to-date nursing licenses and insurance coverage documentation for non-hospital employees.

    **11)** Receives and screens visitors and telephone calls for department and responds to general inquires or routes to appropriate personnel. Answer inquiries concerning activities and operations of department.

    **12)** Maintains contacts inside and outside Hospital to obtain or relay information, arrange meetings, gather data, etc. Schedule meeting, conference, interview and appointment, complete travel arrangements, and maintain Assistant Director's and Medical Director's business calendars..

    **13)** Receives and screens incoming correspondence, reports, memos, etc., and prepares appropriate responses to routine inquiries.

    **14)** Answer inquiries concerning activities and operations of department.

    **15)** Develop, maintain and revise record keeping and filing systems, and classifies, sorts and files correspondence, articles, records and other documents. Initiate and prepare expenditures for office supplies, standard department inventory, travel, etc., and accepts receipts and invoices for non-routine expenditures. Use spreadsheet, database, and/or other software packages to prepare reports, track data, and/or maintain databases.
