    PURPOSE

    Works under the supervision of the Chair for the Department of Theatre & Dance and provides advanced administrative support work for the faculty and Chair in this department.

    RESPONSIBILITIES

    Functional Area 1: Administrative

    Percent Effort: 60%

    + Prepare course schedules with Banner and process reports in Argos

    + Schedule meetings

    + Create Workday documents for the hiring of student workers, graders, and adjuncts

    + Process Workday paperwork for Camp on the Coast hires: directors, teachers, counselors...

    + Confirm faculty textbook adoptions. Receive and review all faculty syllabi.

    + Maintain records and activities for faculty searches

    + Oversee licensing and payment for theatre/dance productions with publishing houses.

    + Assist in the process of catalog and course description revisions.

    + Assist Chair with organization of special events. Assist with coordination of purchasing, catering, campus announcements, invitation, and registrations.

    + Create reports as necessary from Digital Measures, Argos, Banner, and others.

    + Enter permissions in Banner for all majors (each semester).

    + Submit work orders as needed for maintenance.

    + Schedule rooms in Astra for special events and rehearsals.

    + Other duties as assigned.

     

    Functional Area 2: Budget/Accounting

    Percent Effort: 20%

    + Assist with departmental fiscal activities, such as purchasing, and reconciling accounts using advanced spreadsheets/databases.

    + Oversee account activity for main stage productions, play festivals, dance demos, Camp on the Coast, and scholarship fundraisers.

    + Create reports as necessary from Imburse, Canopy, and TEAMS.

    + Other duties as assigned.

     

    Functional Area 3: Support

    Percent Effort: 20%

    + Order office supplies.

    + Maintain copiers and keep them supplied with appropriate paper, toner, ink.

    + Arrange and/or assist with department travel (faculty, students, guests) using Concur. Schedule all travel, car rentals, hotels, conference registration, and assorted travel needs.

    + Assist with box office ticket sales accounting.

    + Assist with ticket sales in the box office when needed using software via Tix.com.

    + Other duties as assigned.

    QUALIFICATIONS

    + High School Diploma/GED.

    + Four (4) years of administrative support experience

    + Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

    + Excellent written and verbal communication skills.

    + Listens intently and gets clarification when needed.

    + Ability to work independently and efficiently with minimal supervision (self-motivated).

    + Ability to work in a fast-paced environment.

    + Excellent attention to detail.

    PREFERRED QUALIFICATIONS

    + Experience with Box office / Front-of-House / Online ticket sales

    + Two (2) years office management experience.

    + Advanced skills in Publisher (or other desktop publishing software) and Adobe.

    + University experience.

    + Experience in Banner, Argos, Ad-Astra, IslanderBuy, Laserfiche, and Workday.

     

    SALARY: $16.25 Hourly ($33,800 Annually Approximately)
