Job Summary and Qualifications
Direct support to Group of Vice Presidents (CM). Performs diversified clerical duties for executives, management and staff within the Case Management Services department, while maintaining a professional environment.
Duties include but are not limited to:
+ Manage Outlook calendar for President, CFO and VP of Operations for CM
+ Plan and schedule meetings
+ Organize and coordinate small and large (50+ attendees) meetings with various degree of complexity (outside location, travel, food, WebEx, hotel contracts, conference room setups, name tags, handouts, and other meeting logistics)
+ Take meeting minutes and communicate summary to participants post-meeting
+ Manage multiple projects with multiple owners at one time
+ Onboard new employees and submit requests for user access via eSAF
+ Make travel arrangements through Concur for Executives
+ Complete expense reports through Concur for Executives
+ Consolidate status reports
+ Serve as backup Healthstream administrator
+ Provide administrative support to the department including document preparation and record management
+ Coordinate communication flow within the team and the department via telephone, email and intranet
+ Maintain supplies and equipment
+ Answer phones and greet guests
+ Practice and adhere to the HCA "Code of Conduct" and "Mission and Value Statement"
+ Serve as a backup to other admins as needed
+ Perform other duties as assigned

Education:
+ High School Graduate/Equivalent
+ Associate Degree preferred
Qualifications:
+ Five (5) plus years of administrative experience required
+ Prior experience with executive level support
+ Knowledge of general management principals
+ Ability to handle confidential information appropriately
+ Proficient at Microsoft Word, Excel, Outlook and Power Point
+ Microsoft Project and Access a plus
+ High degree of flexibility required
+ Excellent interpersonal skills
+ Excellent organizational skills
+ Displays extraordinary customer service skills in person, telephone and written communications
+ Ability to multi-task and work independently with minimum supervision
+ Detail oriented
+ Proven ability to work in a fast paced, high stress environment is essential
+ Ability to effectively communicate
+ Certified Administrative Professional (CAP) designation through the International Association of Administrative Professionals is preferred
+ Notary Public preferred
