    Description

    We are looking for a highly organized and proactive Office Manager to oversee daily operations and foster a positive workplace culture. In this long-term contract position, you will play a pivotal role in ensuring the office is both functional and welcoming, while supporting various teams and administrative needs. This role is based in Hoboken, New Jersey, and requires a hands-on approach to maintaining a dynamic and efficient office environment.

    Responsibilities:

    • Create a welcoming and collaborative office environment for employees and visitors, promoting engagement and productivity.

    • Provide administrative support such as scheduling meetings, managing correspondence, booking travel, and maintaining databases.

    • Ensure smooth office operations by overseeing supplies, common areas, filing systems, and equipment maintenance.

    • Collaborate with IT, HR, and other departments to support onboarding, visitor logistics, and special administrative tasks.

    • Manage vendor relationships and coordinate internal and external resources to maintain seamless office functionality.

    • Oversee office space planning, including workstation setups, office relocations, and facility updates.

    • Plan and execute company events, handling logistics, catering, décor, entertainment, and promotional materials.

    • Identify and implement process improvements to enhance office efficiency and functionality.

    • Work with IT to ensure office technology operates effectively, including setting up equipment for new hires.

    • Ensure compliance with workplace safety standards and maintain a secure office environment.

     

    Requirements • Proven experience in office administration or a similar role, with a focus on creating a positive workplace culture.

     

    • Strong organizational and multitasking skills, with the ability to manage competing priorities.

    • Excellent communication and interpersonal skills to collaborate effectively with diverse teams.

    • Proficient in using office software and tools for scheduling, correspondence, and database management.

    • Experience in event planning and coordinating logistics for company functions.

    • Familiarity with vendor management and maintaining office supplies and equipment.

    • Ability to identify and implement process improvements to streamline operations.
