    Description

    + Provide high-level administrative assistance to senior executives, including managing calendars, scheduling meetings, and addressing correspondence.

    + Plan and book travel arrangements, including flights, accommodations, and ground transportation, while preparing detailed itineraries.

    + Organize and prepare materials for executive meetings, including drafting agendas, collecting documentation, and ensuring timely follow-up on action items.

    + Handle sensitive and confidential information with the utmost discretion and professionalism.

    + Serve as the primary point of contact between executives and internal/external stakeholders, screening calls, emails, and other communications.

    + Draft, proofread, edit, and finalize correspondence, presentations, and reports in a timely manner.

    + Anticipate the needs of executives and adjust priorities to align with organizational goals and deadlines.

    + Assist with the planning and execution of company events, executive offsites, and client visits, as required.

    + Track and reconcile expenses for executives, preparing and submitting detailed expense reports.

    + Work closely with other departments and executive assistants to ensure alignment and effectiveness in administrative support.

    Requirements

    + High school diploma or equivalent required; associate or bachelor’s degree preferred.

    + Minimum of 3-5 years of experience as an administrative assistant, with at least 1-2 years supporting executive-level leadership.

    + Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools such as Teams or Slack.

    + Outstanding written and verbal communication skills, including strong interpersonal skills when dealing with internal and external stakeholders.

    + Exceptional ability to multitask, prioritize, and meet tight deadlines while maintaining accuracy.

    + Proven ability to handle highly sensitive information with professionalism and confidentiality.

    + Demonstrated initiative and ability to anticipate executive needs, resolving challenges proactively.

    + Strong focus on providing excellent service to stakeholders while maintaining a professional and engaging demeanor.

    + Experience managing complex travel arrangements and creating detailed itineraries for executives.

    + Ability to adapt to changing priorities and work effectively in a fast-paced environment.
