Description We are looking for a detail-oriented Operations Specialist to join our team in Seattle, Washington. In this long-term contract position, you will play a vital role in ensuring the seamless planning and execution of events, as well as supporting cross-functional operations. This role requires strong organizational skills, effective communication, and the ability to collaborate with various teams to achieve operational excellence.
Responsibilities:
• Coordinate and manage the planning of company events, including internal meetings, external corporate functions, and small gatherings.
• Work with vendors and hotels to secure room blocks, catering, and other logistical needs for events.
• Arrange travel accommodations for event participants, ensuring compliance with company policies while addressing individual requirements.
• Collaborate with the finance team to manage payments, reconcile corporate cards, and track event budgets.
• Maintain clear communication with internal teams and external vendors to ensure smooth operations and efficient event planning.
• Collect and analyze data from past events to evaluate cost-effectiveness and identify areas for process improvements.
• Assist in developing scalable processes and leveraging tools for effective event management and compliance.
• Provide exceptional customer service by addressing the needs of internal stakeholders and external partners.
• Stay informed on industry trends and innovations to support continuous improvement in event coordination and operations.
• Build expertise in event coordination processes to serve as a trusted resource for cross-functional teams. Requirements • Proven experience in event planning, logistics coordination, or a related operational role.
• Familiarity with tools and platforms used for event management, reporting, and compliance.
• Strong communication skills to effectively collaborate with internal teams and external vendors.
• Proficiency in auditing, data analysis, and generating actionable insights.
• Knowledge of financial services systems, including CRM, ERP, or similar platforms.
• Ability to manage multiple projects simultaneously while meeting deadlines.
• Customer-focused mindset with a commitment to delivering high-quality service.
