Undergraduate Program Coordinator
Required Qualifications (as evidenced by an attached resume):
Bachelor's Degree (foreign equivalent or higher). Two (2) years of progressively responsible administrative experience. Highly proficient professional experience in word processing, spreadsheet management, electronic messaging, and internet applications.
Preferred Qualifications:
Master’s Degree (foreign equivalent or higher) in higher education, student affairs, social work, counseling, or related field. Experience in academic advising, counseling, or student services at the college or university level (Student work experience may be considered). Student academic advising experience with undergraduates. Experience working with an engineering student population or knowledge of engineering disciplines. Experience coordinating a Graduate and/or Undergraduate Program. Experience conducting training or delivering presentations. Experience coordinating programs and/or events.
Brief Description of Duties:
The Undergraduate Program Coordinator will be responsible for the Computer Science and Information System Programs. These programs provide a rigorous, engaging curriculum that develops an interdisciplinary understanding of the world and links learning to the excitement of technology. Working closely with the Undergraduate Program Directors, this position is responsible for maintaining the overall academic integrity, quality, and viability of the UG Degree Program. The incumbent is responsible for providing continuous comprehensive assistance to UG students from matriculation to graduation on courses as per program guidelines.
The successful incumbent will have excellent interpersonal skills, and exercise strong organizational skills with exceptional attention to detail. Essential for this role is the adeptness to work independently as well as part of a team with a collaborative approach to problem-solving. Should be comfortable interacting with individuals at various levels within an institution as well as the general public whenever necessary.
Duties:
Program Coordination:
+ Responsible for coordinating all aspects of the undergraduate program’s academic administrative matters, administering program policies/procedures, student recruitment, admissions, registration, financial support, and advising. As a primary liaison between students, internal faculty advisors/committees, and external Program members, serve as the point person and information source for all University and departmental policies and procedures relevant to the program.
+ Assist the undergraduate program directors in the processing of undergraduate teaching assistant (TA) applications. Assist the faculty director of the CSE Honors Program with admissions, enrollment processes and scholarship eligibility, as needed. Coordinate ABET accreditation processes as needed. Keep files and information in preparation for ABET visit. Collection of all undergraduate course syllabi and instructor office hours each semester and keeping records as required.
Student Recruitment:
+ Assist with all activities related to attracting prospective students. Participate in and coordinate the CSE/ISE portion of Admissions open houses/receptions and Admitted student events.
Registration:
+ Oversee department registration procedures. Develop and maintain class permission request forms for current and visiting student enrollment. Oversee collection and processing of internship (488) and research (487) applications and related paperwork. Process transfer course/credit evaluations; review and forward to the appropriate professor with applicable supporting documentation.
Advising:
+ Advise current and prospective students in individual and group settings on an ongoing basis for the program, and communicate on a regular basis about courses, majors, degree requirements, and policies/procedures with students, program directors and/or others as per NYS guidelines. Resolve problems with missing or incorrect grades on transcripts; remove advising holds. Send notification to students and online clearance of graduation candidates. Ensure students complete college requirements and current university policies and deadlines are met. Assist students with declaring major specializations and verify students have satisfied these requirements upon graduation. Implement course substitutions in DegreeWorks as approved by the Undergraduate Review Committees. Maintain files for the Program Director's perusal for graduation.
Program Support:
+ Work closely with the Program Director, Department Chair, Faculty, and Program Committee to improve the administration of the Program in the Dept. Provide administrative support to the Program Committee, their meetings, and in implementing their decisions as well as coordinate any special projects as needed. Assist the Undergraduate Program Manager, as needed, in the coordination of the departmental Fall/Spring/Summer session programs/classes and tentative year-in-advance scheduling. Assist with any program events such as commencement, recruitment, or new student orientation. Represent the Program at meetings as needed. Interact with other University offices as needed, i.e. Dean’s Office, International Academic Programs, Registrar’s Office, Student Accounts, and other academic departments as necessary.
Records:
+ Keep accurate and complete program and student records with adherence to FERPA regulations, from admissions through graduation clearance including demographic and career history. Provide reports in support of program data, and program decisions.
**Other duties or projects** as assigned as appropriate to rank and department mission.
Special Notes:
This is a full-time appointment. FLSA Non-Exempt position, eligible for the overtime provisions of the FLSA.
In addition to the employee's base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly.
