Job Description
The Accounts Payable Specialist will eventually be responsible for managing all accounts payable functions within the company. This role requires a detail-oriented individual who can handle high-volume vendor invoices and ensure accurate coding to job cost and general ledger accounts.
Responsibilities
+ Process high-volume vendor invoices and ensure proper coding to job cost and general ledger accounts.
+ Match purchase orders, delivery receipts, and invoices for accuracy.
+ Manage weekly check runs, ACH payments, and wire transfers.
+ Maintain vendor records, including W-9s, insurance certificates, and lien waivers.
+ Reconcile vendor statements and resolve discrepancies in a timely manner.
+ Collaborate with project managers and procurement teams to ensure proper invoice approvals.
+ Assist with month-end closing activities and accruals.
+ Ensure compliance with internal controls and company policies.
+ Support audits by providing documentation and responding to inquiries.
Essential Skills
+ Accounts payable experience preferred.
+ Proficiency in invoice processing and data entry.
+ Knowledge of purchase orders.
+ Proficient in Microsoft Office applications, especially Excel.
Additional Skills & Qualifications
+ A degree in a related field is preferred but not required.
+ Familiarity with construction accounting software such as Sage 300, Viewpoint, or Procore is a plus.
+ Excellent attention to detail and organizational skills.
+ Ability to work independently and meet deadlines in a fast-paced environment.
Work Environment
+ The work environment is characterized by a family feel, with a company size of 40 employees.
+ The team includes the Accounting/HR/Office Manager and the Controller.
+ The dress code is business casual, with jeans permitted on Fridays.
+ Working hours are from 8am to 5pm, with a 1-hour lunch break.
Pay and Benefits
The pay range for this position is $25.00 - $30.00/hr.
