    Description of Work Unit

    The Infectious Disease Research Center ( IDRC ) at the foothills campus of Colorado State University is a unique and lively hub of translational biology that integrates academic research, entrepreneurial companies, and a world-class bio-manufacturing operation unified under one roof. Featuring one of the nation’s most significant infrastructures for working with high consequence pathogens, industry and academic researchers can mingle as they apply cutting edge biotechnology tools to address some of the world’s most pressing health threats. Bio-manufacturing of drugs to be used in clinical trials is performed under FDA regulated conditions within a high containment environment.

     

    BioMARC is a contract manufacturing organization ( CMO ) of FDA regulated products. It was created to fill an industry need for higher containment biologic manufacturing. BioMARC is a nonprofit CMO owned and operated by CSU ,and was created to translate and produce biopharmaceutical products for non-clinical, clinical, and commercial use under Biosafety level 2, 3 and Select Agent biosecurity conditions. In addition to manufacturing and testing services, BioMARC offers product and process development services, which includes the creation of development programs focused on implementing cGMP regulations and scalability issues.

    Position Summary

    The position will primarily provide administrative and operations support of the Infectious Disease Research Center ( IDRC ) and attend the front desk of the Research Innovation Center ( RIC ). The candidate will be responsible for cohesive communication for the IDRC and help with conference room and site management. They will assist the Directors, Associate Directors, and other upper-level IDRC management in the development, maintenance, and distribution of documents, spreadsheets, and presentations and maintain organized filing systems. This administrative coordination will include working closely with the Bio-pharmaceutical Manufacturing & Academic Resource Center (BioMARC), which is an organization within the IDRC . Responsibilities will also include the planning and coordination of meetings with IDRC /BioMARC management and clients/stakeholders/potential employees.

     

    This position requires the individual to use discretion and maintain confidentiality of information, as appropriate, in all matters and to attend training classes as necessary to provide continuous support of these functions.

     

    The ideal candidate will have strong organizational skills and attention to detail, learn quickly, and be able to work under moderate supervision to complete assigned tasks in a fast-paced environment.

    Required Job Qualifications

    + Bachelor’s degree OR Associate’s Degree with 2 years of relevant experience OR High School Diploma (or GED ) plus a minimum of four years relevant experience.

    + High level of computer proficiency, including Microsoft Word and Excel

    + Demonstrated performance as a member of a team

    + Experience interacting with diverse groups of people.

    + Excellent customer service skills with demonstrated professionalism and confidentiality.

    Preferred Job Qualifications

    + Experience with administrative tasks including accounting principles.

    + Experience in a University setting, specifically familiarity with Colorado State University systems to include Kuali Financial Systems, Oracle, TEM , TMS .

    + Experience working professionally with all levels of management, clients, and stakeholders

    + Experience being flexible in a fast-paced environment.

    + Experience with Microsoft Visio and PowerPoint.

    Essential Duties

    Duty/Responsibility

    + Position will manage day to day needs of customers such as the tenants of the RIC , research occupants of the IDRC , BioMARC staff, Biosafety, and external stakeholders.

    + Serve as the front desk member, answering phones, and immediately engage with all non-staff members who enter as they walk in. Helping to direct visitors, delivery, and service vendors. Be aware of what is going on at the IDRC for key personnel and events.

    + Monitor the IDRC email account and triage messages to the appropriate individuals and groups.

    + Maintain a current IDRC Directory of occupants and send blast emails as appropriate and requested by the Directors.

    + Maintain the IDRC digital signage

    + Be the point of contact for conference room coordination and reservations at IDRC as needed.

    + Troubleshoot real time with building proctor and/or IDRC management to address facilities issues.

    + As assigned, assist the Directors, Associate Directors, and other upper-level IDRC management in the development, maintenance, and distribution of documentation, presentations, flow charts, organization charts, protocols, and spreadsheets and maintain organized paper and e-file systems.

    + Coordination, tracking and management of computer allocation and desk space for BioMARC and IDRC staff and students.

    + Coordination of non-disclosure agreements and other non-monetary agreements needed by IDRC /BioMARC.

    + Maintain and update BioMARC website, marketing materials, and social media.

    + Other operational duties as identified by Supervisor.

    + Manage events and meetings, including taking minutes.

    + Coordinate with external visitors their needs to include parking, catering, adapters for presentations, ensure adequate virtual conferencing is available and properly functioning. Facilitate any needs for the presenter or the conference room users.

    + Ensure data, materials, and agendas for meetings and/or presentations are prepared in an accurate, timely, and professional manner. Assist the Directors, Associate Directors, and other upper-level IDRC /BioMARC management with preparation for meetings as requested.

    Duty/Responsibility

    + Assisting with the coordination/scheduling of interview candidates for new hire positions at IDRC and BioMARC. This requires professional communications with search committee members and potential candidates.

    + Coordinate the hiring of new students including posting of open positions through Handshake.

    + Coordination of on-boarding and off-boarding actives of staff and students. Assist management team in creating and maintaining an on-boarding and off-boarding process.

    + Attend training classes as necessary to provide continuous support of these functions.
