    Receptionist/Office Assistant, Operations and Maintenance

     

    The Ocean County Utilities Authority is seeking a Receptionist/Office Assistant in the Operations and Maintenance Department. This individual will provide administrative support to the Senior Director of Operations, Risk & Safety, Laboratory, and Wastewater Quality Control areas. The Receptionist/Office Assistant also greets various guests/visitors to the Operations & Maintenance department and handles incoming calls to the Authority as required.

     

    Responsibilities and Duties

     

    - Assist visitors/guests in answering questions and/or directing to appropriate Authority staff personnel.

     

    - Assist in coordinating and maintaining control of administrative functions.

     

    - Execute and coordinate administrative activities, as directed, among the three Operating Divisions, Engineering & Construction, and Central Services in support of the Senior Director, Operations & Maintenance’s goals.

     

    -Coordinate Authority-wide training registration

     

    - Answer telephone calls, relay messages, and screen calls when necessary as well as provide daily switchboard coverage and assist with occasional mail coverage in the absence of the Receptionist, Administration.

     

    -Manage and execute annual “time sensitive” reports

     

    -Prepare and proofread routine letters, confidential memoranda, statements, reports, applications and other documents

     

    - Handle routine requests for information in accordance with prescribed rules and regulations.

     

    - Operate various types of office machines and equipment.

     

    - Make copies of correspondence, reports, etc., and collate and disseminate to proper files and personnel.

     

    - Perform other duties as assigned.

    Qualifications and Skills

    A high school diploma or equivalent with a minimum of one year’s experience in office work is required (some college preferred). Must have the capability to type at a moderate speed with a knowledge of modern office procedures and equipment. Ability to comprehend established office routines, to organize assigned work and develop effective methods. The applicant must be computer literate and able to utilize the Microsoft Office suite of applications as well as the Authority’s resource planning system (SAP), Electronic Document Management System (EDMS) and Image Now. Must be able to work independently and possess good oral and written communication skills. This position requires the applicant to possess a valid New Jersey Drivers License.

     

    This position is full time with a 35-hour workweek (M-F 8:00-4:00 with a 1-hour unpaid meal break).

     

    The Authority offers a competitive starting salary ($38,000 - $46,000 DOQ) along with an excellent benefits package including State pension (PERS), Health Benefits, 12 paid holidays and generous paid time off.
