Job Description
Provide essential office administration and facility services for a location(s). Perform support activities in support of but not limited to maintenance requests, cleaning, mailroom services, records retention, office supply and inventory, equipment, and security software and badge administration. Support building related projects/updates.
Job Duties and Responsibilities
+ Facilitate building service and repair requests
+ Coordinate the copy center/mail room duties when needed with our outsource partner
+ Coordinate and fulfill office move requests
+ Work with facility or office manager regarding furniture and space needs
+ Coordinate work order requests, including conference room set up
+ Assist with set up of conference rooms as requested; assist with AV needs/troubleshooting
+ Perform or support mailroom function: sorting and preparing incoming and outgoing mail/packages; printing, sorting, and distributing invoices; large print job requests; etc.
+ Support records retention by maintaining records database and ensuring records are destroyed per the company’s Records Retention Policy
+ Perform duties to support access/security control system (badge, keycard access): activating or deactivating access cards/badges, printing security badges, updating security database with access changes, auditing badges, ordering security badge cards and badge print supplies, and generating security reports
+ Provide back-up support to other office roles (e.g., receptionist) or area locations when needed
+ Keep area straight, professional and clear of clutter

Requirements
Education and Experience
+ High school diploma or equivalent
+ 2 to 4 years of administrative support, office coordination, or related experience
+ Certification and/or License – may be required during course of employment
Knowledge, Skills, and Abilities
+ Working knowledge of general business administration practices and procedures
+ Working knowledge of HVAC, security systems, and any other facilities related practices and procedures
+ Knowledge of and skill with Microsoft Office Suite and company computer systems
+ Able to respond courteously and efficiently to inquiries, complaints, and requests
+ Able to communicate clearly and effectively, both verbally and in writing
+ Able to work with accuracy and detail oriented
+ Able to problem solve, multi-task and prioritize own work activities
+ Able to recognize situations or issues before they turn into issues
+ Able to perform tasks and duties without constant supervision
+ Must be able to read, write and speak English
